TakeRoot Justice seeks an Office Coordinator/Legal Assistant.

This is a part-time position (10-12 hours per week split over two days) that is responsible for maintaining TakeRoot’s office environment while the office is operating at reduced capacity due to the COVID-19 pandemic, and providing in-office support to staff working remotely. This is an in-office position that cannot be done remotely. Tasks and responsibilities include sorting and scanning mail, making trips to the post office and bank, mailing out legal documents on behalf of staff, unpacking and restocking office supplies, and maintaining office technology. There is potential for this to become a permanent office support position with increased hours when we return to office-based work after the pandemic. 

About the Organization

TakeRoot Justice (TakeRoot) was founded in 2001 as the Community Development Project at the Urban Justice Center and provides legal, participatory research and policy support to strengthen the work of grassroots and community-based groups in New York City to dismantle racial, economic and social oppression. TakeRoot separated from the Urban Justice Center and became an independent nonprofit organization on July 1, 2019.

Our partners take the lead in determining the priorities and goals for our work, and advance our understanding of justice. We believe in a theory of change where short-term and individual successes help build the capacity and power of our partners, who in turn can have longer-term impact on policies, laws and systems that affect their communities. Responsibilities

Visit the TakeRoot office two days per week for approximately 5-6 hours per day, to take care of the following:

 

Mail management

·        Sort, date stamp and scan incoming mail

·        Make regular trips to the post office to send mail to staff and clients as needed

·        Make trips to the bank to deposit checks that arrive in the mail

 

 

 

Legal Office Assistance

·        Print and mail out documents to clients and opposing counsel, as directed by legal staff

 

Office Coordination

·        Responsible for daily upkeep of facilities. This includes ensuring appropriate COVID signage and PPE are available, and working with Office/Facilities Manager and COO to ensure that the office needs of staff are met.

·        Assist staff who are working remotely with any in-office needs, including scanning /shipping files and mailing out supplies and other office equipment as needed.

·        Manage office equipment including copiers, fax machines, printers and postage machine. Replace toner and paper as necessary. Replenish funds on postage machine as needed. Maintain equipment list of all equipment and assist employees with troubleshooting machinery problems and arrange for service when necessary. Log issues and service calls.

·        Maintain inventory of supplies including office, legal, shipping, janitorial. Coordinate orders with Office Manager.

·        Coordinate with vendors making deliveries to the office.

Qualifications/Skills

·        At least 2 years of office support experience, including administration and facilities. Experience providing office support for law firms and/or nonprofit organizations strongly preferred.

·        Mailroom/mail management experience strongly preferred, especially in a law firm environment.

·        Must be able to use initiative and independent judgment within established guidelines.

·        Effective written and oral communication skills.

·        Experience maintaining and troubleshooting office equipment such as copiers and printers strongly preferred.

Timeline & Compensation

This position is available to start immediately. Anticipated compensation is $23 per hour for 10-12 hours per week.
