The Administrative Assistant supports the Executive Director in carrying out administrative, operational and policy-related functions of the association. The Administrative Assistant assists with events and activities designed to build internal capacity and increase association visibility

Administrative

  • Provides administrative and clerical support to the Executive Director.
  • Conserves executive's time by reading, researching, and routing correspondence; collecting and analyzing information and initiating written, electronic and audio communications.
  • Assists with the collection, editing, collating and distribution of materials and records minutes for association meetings, including committee meetings and bi-monthly Board meetings.
  • Schedules and coordinates logistics for meetings and appointments.
  • Supervises and trains volunteers and interns, as needed.
  • Develops or maintains program/participant statistics and other records in accordance with funder and YWCA local and national requirements.
  • Develops and manages filing and database systems and inputs data in an accurate and timely manner.
  • Drafts correspondence, program and other reports for internal and external use.
  • Coordinates and implements procedures to prepare reports, coordinate periodic mailings and perform other activities as required.
  • Manages incoming and outgoing mail.

Customer & Community Relations

  • Provides reception support for YWCA Cambridge staff, renters, tenants and others, including greeting visitors to the Main Building in person or on the telephone, and answering or directing inquiries.
  • Promotes and maintains positive relations and acts as liaison with the community.
  • Assists with the organization of resources (educational and informational materials) for use in community presentations.
  • Acts as back-up for scheduling facility rentals for meetings or events.

Marketing & Fundraising

  • Assists with promotion of the association by building public awareness of its mission, purpose and philosophy.
  • Assists in organizing and maintaining fundraising database records and reports, processing confidential donor information, and researching grant and fundraising sources and opportunities.
  • Assists in planning and implementing special events such as donor appreciation, annual Tribute Awards, annual Stand Against Racism and other forums designed to increase association visibility.
  • Helps to maintain portions of association website as appropriate.

Other

  • Coordinates monthly art exhibits in Main Building lobby.
  • Performs other duties and special projects as assigned for the effective and efficient operation of the associations

QUALIFICATIONS:

  • Excellent oral and written communication skills.
  • Excellent human relations and interpersonal skills.
  • Proactive, self-motivated attitude.
  • Willingness to take initiative and anticipate tasks.
  • Effective problem-solving and time management skills.
  • Excellent computer skills, required, especially knowledge of Microsoft applications.
  • Strong knowledge of InDesign and Adobe Acrobat preferred.
  • Experience developing and managing databases.
  • Minimum three years’ experience in a similar position.
  • Able to read, understand and follow instructions.
  • Able to work independently and as part of a team.
  • Able to manage multiple, diverse projects simultaneously.
  • Bi-lingual English-Spanish preferred.
  • Must be sensitive to the unique and diverse needs of women
