MEMBERSHIP & STATE OPERATIONS ASSISTANT

The Membership and State Operations Assistant is responsible for assisting the Fight Crime: Invest in Kids team and State Offices in achieving their membership, state policy, and other objectives. The Assistant reports directly to the State Operations & Policy Deputy Director. 

Essential Functions

  • Assist in the preparation of materials for state and national conferences, meetings with policymakers and their staff, and meetings with allies and funders;
  • Assist in the preparation of materials and agendas and take notes for internal meetings;
  • Draft pre-and post-conference correspondence (to include introductory and follow-up emails/faxes, thank you letters, etc.);
  • Execute post-conference recruitment calls and organizing post-conference informational mailings as needed;
  • Maintain member database, including new member data entry and sending new member welcome packets; 
  • Draft and send e-newsletters to update members;
  • Work with Communications staff to showcase the work of members through updates to the website and drafting social media content;
  • Manage the shipping of materials for team travel;
  • Assist team members with the development of member and policymaker targeting documents for state trips, conferences, state policy, and federal policy objectives;
  • Respond to requests for technical assistance from state directors and remote staff;
  • Complete other duties as needed.

  • Proficient in Microsoft Office and Google Suite.


Supervisory Responsibility

This role has no direct supervisory responsibilities.


Work Environment

This job operates in an office setting. This role routinely uses standard office equipment such as computers, phones, printers, and copy/fax machines.


Physical Demands

This is a largely sedentary role; however, some packing and shipping of boxes is required. This would require the ability to lift boxes, and bend or stand on a step ladder as necessary.


Position Type and Expected Hours of Work

This is a full-time position. Days and hours of work are Monday through Friday 8:30 a.m. to 5 p.m. Some flexibility in hours is allowed, but the employee must be available during the “core” work hours of 9:30 a.m. to 3:30 p.m. and must work 40 hours each week to maintain full-time status.

Travel

No travel is expected for this position.

Required Education and Experience

High school diploma required, and experience in a collaborative office environment preferred.

Preferred Education and Experience

Undergraduate degree preferred.

Experience in organizing, membership-focused, and/or customer service roles. 

Salesforce database experience a plus.
