Position Summary: The Operations Coordinator will play a key role in the operations of Scholar Athletes headquarters. S/he will serve as liaison to both internal and external stakeholders and will support strategies and initiatives within the organization. S/he will support the Operations Department in a variety of ways. This position requires a well-organized and versatile individual who is willing to work collaboratively as well as autonomously on self-directed projects.

Status: Hourly


·       Office Management:

o  Handle reception duties: greeting guests, answering and transferring phone calls and emails, regular coverage of front desk and reception area, managing incoming and outgoing mail, and maintaining the front lobby area

o  Order and restock office supplies as needed

o  Manage office equipment to ensure it remains in good working condition and is maintained properly

o  Work Collaboratively with Operations team to develop and implement standard operating procedures

o  Input information quickly and accurately from a variety of sources into organization’s database(s) 

o  Provide support for mass mailings and other clerical support for organizational initiatives

o  Assist in organizational event logistics and plans including but not limited to: Annual Fundraiser, SA staff events, and off-site meetings

o  Provide project management as it relates to the support of the organization and its respective departments

o  Other duties as assigned

·       Admin Support:

o  Assist in drafting and managing organizational information as needed including employee contact information

o  Coordinate communication with relevant Suffolk-related relationships including but not limited to: Accounting, IT, HR, Office Services, and Marketing

o  Support with various accounting systems including financial record keeping, vendor set-ups, check processing and other related duties

o  Clerical duties including copying, scanning, typing

o  Take meeting notes as directed at various meetings

o  Other duties as assigned 

·       HR Duties:

o  Support Scholar Athletes interns and train each intern on front desk coverage

o  Support SA’s hiring process in partnership with the hiring manager including but not limited to posting open positions, scheduling interviews, filing candidate information and interacting with candidates

o  Support SA’s onboarding process for new employees by providing office supplies, office/workspace set up, office orientation, policies and procedures, systems, etc.

o  Other duties as assigned

Professional Requirements:

·       Bachelor’s degree preferred

·       1-2 years of administrative-related experience

·       Exceptional communication and interpersonal skills

·       Excellent computer, organizational, and written skills

·       Ability to function in a fast-paced environment and triage effectively

·       An understanding of public school systems

·       Must have the ability to manage confidential information with tact and professionalism
