Description

Reporting to the Senior Program Officer of Exchange Visitor and Grant Programs, the Program Officer will implement and support the Edmund S. Muskie Internship Program and TEACH USA Programs, including organizing selection of participants, managing graduate intern placement process, and developing orientation and debriefing sessions. The Program Officer will also implement new inbound placements and other Exchange Visitor and Grant Programs.


Essential Duties and Responsibilities:

- Program Management for TEACH USA, Inbound Placements and Exchange Visitor and Grant Programs-

  • Responds to TEACH USA and other stakeholder requests in a timely manner and prepares comprehensive proposals, as required
  • Organizes and processes TEACH USA participant selection process, and works with State Department, host schools, partners and teacher candidates to confirm participant selection and ensure proper J-1 SEVIS certification
  • Prepares submission of fiscal reports as requested by funders or partners and processes extensions for participants
  • Provides support and guidance to program participants, as necessary, during the duration of their stay in the U.S.
  • Oversees short-term Embassy programs, including, coordination of transportation, accommodations, meals, meetings, and cultural events for participants
  • Works closely with Program Development on the design and implementation of inbound placement programs
  • Develops, maintains and analyzes participant survey data

- Program and Grant Management for Edmund S. Muskie Internship Program -

Facilitates program from the beginning of the application process to completion with minimal guidance:

  • Works with software development team to implement electronic application
  • Coordinates participant recruitment activities, and addresses applicant inquiries
  • In tandem with Senior Program Officer, confirms applicant eligibility prior to applicant consideration
  • Organizes participant selection process, and works with State Department and Institute of International Education to confirm participant selection
  • Assists Senior Program Officer in internship site recruitment and selection, including assuring required documentation for visa compliance and host-site supervisor orientation
  • Prepares program materials
  • Prepares and manages all logistical and travel arrangements for participant orientation and de-briefing sessions (hotel and transportation) and assists in housing arrangements
  • Manages internship placement process, including confirming housing and transportation logistics for internship host sites
  • Develops and implements pre-program virtual activities
  • Ensures high quality and consistent customer service to all parties
  • With oversight from Senior Program Officer, leads coordination of developing and implementing arrival orientation; final debriefing session; action plans for alumni engagement
  • Oversees program promotional activities and develops social media strategy in coordination with Marketing and Communications teams
  • Assembles program evaluations, and reports results to Senior Program Officer and other stakeholders with Cultural Vistas
  • Drafts quarterly program reports, and ensures reports are submitted by determined deadlines
  • Manages program budget under the supervision of the Senior Program Officer

- Client Relationship Management -

  • Maintains regular communication with State Department, IIE Fulbright department, host internship sites, and fellows to ensure meaningful opportunities and a seamless process
  • Collaborates closely with Marketing Department and Alumni Officer on program and alumni promotion activities, under supervision of the Senior Program Officer
  • Educates clients and participants on the purpose of the program and visa regulations
  • Ensures project management processes and clear messaging with internal and external customers
  • Ensures smooth processing of applications and clear messaging with internal and external customers
  • Proactively engages clients and participants, including regular check-ins via phone, e-mail, and in-person
  • Ensures high quality and consistent customer service to all parties

- Professional Development -

  • Develops and maintains an advanced knowledge of visa regulations, application requirements and Cultural Vistas policies in order to properly represents Cultural Vistas throughout the process and at events
  • Develops and maintains industry knowledge by seeking out educational workshops, classes, and related publications
  • Supports on-going communication to all appropriate staff as it pertains to initiatives and new and existing business
  • Takes a proactive approach to improve business functions and workflow within department
  • Works in accordance with the mission, goals, values, and strategic direction of Cultural Vistas

  • Computer Equipment and Software Experience Required:
  • Must be proficient in Microsoft Suite and Salesforce products.
  • Education and Experience Required:
  • Education: Bachelors degree in International Relations, Business, Political Science, Public Policy, or other related degree required, Masters degree a plus.
  • Years of Experience: Minimum 2-3 years of previous administrative, customer service, client relations management, or program management experience in a cultural exchange, educational, or international relations environment. Interest in Russia, Eastern Europe, and Central Asia a plus.
  • Physical Demands of Position:
  • Domestic and international travel may be required. Work on weekends, holidays, and evenings will be required on occasion.
