Job Title: Program Associate

Location: Headquarters, Washington, D.C.

Department: Programs, Family Communications and Logistics

Status: Full-time, non-exempt position

Position Summary:

Family Communications and Logistics Program Associate is responsible for providing support to the Program Director of the Family Communications and Logistics Department. This individual assists with all tasks associated with program outreach and travel coordination. The Associate interacts closely with the other Luke’s Wings departments to ensure fundraising goals are met.

Essential Duties and Responsibilities include, but are not limited to:

·        Support the Program Director in the review of all flight applications and supporting documents submitted to Luke’s Wings, while working with travel agent to schedule flight requests

·        Record and manage geographical and statistical flight data for monthly reports

·        Update databases using Dropbox and new database management system weekly

·        Formalize decision matrices to distribute to case managers at military hospitals and hospice care centers

·        Create, modify, and maintain routine and special letters, memos, and reports using Word, Excel, and Salesforce

·        Track Delta SkyMileage and Spirit Airline voucher usage and cost daily

·        Foster existing relationships with individuals and companies providing silent and live auction items

·        Attend and support the Heroes Gala, Heroes Classic, and Walk to Fly fundraising events and year end “No Soldier Spends Christmas Alone” campaign

·        Assist with the implementation and management of new UniteUs program installation

·        Attend expos, symposiums, conferences, resource fairs, and program-related meetings and events as needed

·        Research political, social, and military personnel to connect with regarding upcoming fundraising events

·        Work with the Development team on the annual Combined Federal Campaign

·        Ability to work occasionally on nights and weekends, particularly on dates surrounding major fundraising events

Value Added Expectations:

·        Personally initiate and cultivate relationships that will enhance Luke’s Wings connections for loyal and reoccurring donors to pass on to the Development team

·        Gain a working knowledge of Luke’s Wings and the military community it serves and supports through providing year-round transportation to wounded warriors

·        Represent Luke’s Wings on task forces, coalitions, and other community groups, as assigned by the Director

·        Stay abreast of philanthropic, economic, social, and community trends; especially trends pertaining to the military community and those who support this network (daily talking point to team related to current events and/or VSO’s)

·        A personal connection or relationship to military is preferred, but not required. This background knowledge will prove useful in the understanding of the military culture and Luke’s Wings’ relationship within the greater community.


·        Strong interpersonal skills and ability to work effectively with many work styles

·        Strong written and oral communication skills; including giving effective group presentations

·        Ability to manage multiple short-term and long-term projects simultaneously

·        A commitment to the military community and providing excellent support to them, their loved ones, and their case and loved ones

·        A strong work ethic, innovative spirit, and the ability to represent Luke’s Wings in a professional manner

·        Flexibility to work with a team or independently

·        Ability to manage issues and crises calmly and effectively while interacting with beneficiaries

·        Operates with professionalism and confidentiality

Qualifications and Requirements:

·        Bachelor’s degree required

·        Proven and successful track record of program coordination

·        Drive to achieve goals through teamwork

·        Ability to develop and deliver presentations and speak persuasively

·        Must be familiar with Word, Excel, and PowerPoint; this role is data and detail-oriented

·        Previous database management knowledge preferred
