The Associate on the U.S. Program team assists in efforts to build program capacity and enhance internal efficiencies, ensuring the deepening of quality relationships with our 1,000 partners through exceptional customer service. This associate will also specifically provide support on the implementation of all diabetes prevention programming and will assist in research for the U.S. Patient Assistance Program. In addition, the Associate provides administrative support, conducts research to support US Program planning, and assists with Americares relief efforts following domestic disasters as needed. Specific duties and responsibilities are described below:



Partner Management and Network Expansion:

  • Manage inbox: Communicate with partners around USAccess accounts, donations and shipments, and address questions and issues
  • Manage all year-end partner shipping reports
  • Maintain active and engaged partnership network through routine outreach to partners and specific outreach to partners whose accounts have lapsed
  • Complete routine follow up with partners who have pending applications (i.e. encouraging new partners to finish partially complete applications, submit follow-up documents, etc.)
  • Ensure the accuracy of ongoing contact list by following up on email bounce backs

Project Management:

  • Oversee, implement and report on progress of Destruction Program
  • Provide customer services support to participating partners; maintain current Smart Sheet detailing program metrics and timelines and report on progress
  • Liaise with internal stakeholders, including quarterly reporting and narrative updates

Diabetes Prevention Program Support

  • Provide administrative assistance prior to and on webinars and calls; site visit preparations/ support with coordinating visits; preparing and mailing materials as needed
  • Manage all partner related logistics needs, including technology needs and travel booking
  • Organize raw data from research database into a high level monthly report
  • Maintain database of research related to diabetes prevention, particularly those in safety net settings.
  • Compile nutrition and physical activity resources for DPP patients in shared Dropbox account
  • Provide research support to Loyola University Chicago, including data cleaning as needed
  • Complete Diabetes Training and Technical Assistance (DTTAC) course to understand how the DPP is typically implemented

Patient Assistance Program Building

  • Understand PAP market through research and education
  • Research and streamline processes for outreach to new and current donors under the direction of Associate Director, PAP, and in partnership with CR liaison; maintain live and efficient database; report on decided upon baseline outputs
  • Attend conferences as needed; conduct outreach, report on educational sessions
  • Cross train on PAP processes to serve as bridge during Associate Director, PAP, vacation and/or deployment

Program and Organizational Support:

  • Conduct research and analysis as requested
  • Serve as back up for processing orders and updating inventory as needed
  • Manage and maintain conference and other program marketing materials as requested
  • Manage business correspondence as requested
  • Collaborate on completing mass program mailings
  • Actively participate in department task forces as well as serve as on rotation schedule as meeting chairs and minute takers
  • Work with the Emergency Response team to support Americares response and relief efforts following U.S. disasters; Serve as a contact for deployment as needed following U.S. disasters to support Americares response and relief efforts

  • Bachelor’s degree required
  • Customer-service orientation; curiosity to understand partners’ needs and willingness to advocate for partners both internally and externally
  • Prior experience with databases and new software required
  • Microsoft Office proficiency (Outlook, Word, Excel)
  • Exceptional organization skills and attention to detail
  • Demonstrated ability to multi-task and independently reprioritize focus
  • Excellent interpersonal and communications skills
  • Self-starter with ability to succeed independently and as a part of a team
  • Must be resourceful and a demonstrated problem solver
