Operations Coordinator

SUMMARY

This position will work directly with clients and colleagues to coordinate accreditation activities and provide administrative support for all tasks associated with operations of an accrediting body.  The incumbent will work to maintain a high standard of accountability in internal operations by performing administrative duties, document intake, and travel logistics with a “customer-first” attitude.  The ideal candidate will have superior administrative abilities, a keen eye for detail, and the ability to work efficiently and independently to meet multiple deadlines.  A trust-worthy and dependable attitude is required to handle sensitive and confidential information with discretion and to meet the needs of staff and clients in a friendly and helpful manner. Candidate will be located in the greater Washington DC area or be willing to relocate at his/her own expense.

RESPONSIBILITIES

  • Coordinates all facets of the accreditation and reaccreditation process for accredited human research protection programs or those seeking accreditation
  • Reports to the Director of Operations with feedback regarding the status of accreditation submissions, site visits, and milestone tracking of the accreditation process
  • Provides guidance to organizations on how to properly submit accreditation documents according to specific AAHRPP requirements, including providing technical support to clients for all electronic systems
  • Provides administrative support of the accreditation process, and maintains electronic systems to ensure the most up-to-date information is available for all staff, consultants, contractors, and clients
  • Performs intake procedures for all incoming accreditation documents
  • Prepares routine and official communications to clients and contractors
  • Receives inbound phone calls to AAHRPP and perform reception duties
  • Facilitates domestic and international travel logistics for a subset of site visits
  • Utilizes various electronic systems to ensure efficient operational flow to the accreditation process
  • Facilitates the investigation and root cause analysis process as appropriate
  • Contributes to the development of a comprehensive quality improvement and quality control program, inclusive of the analysis of operations data
  • Provides administrative and technical support for in-person and virtual meetings, including but not limited to Council on Accreditation meetings, webinars, and annual conferences
  • Displays affirmative willingness to assist in cross-cutting assignments and special projects
  • Completes other duties, as assigned

Minimum Requirements:

  • Bachelor’s degree
  • 1-2 years of administrative work experience required
  • Strong interpersonal skills coupled with a professional demeanor
  • Ability to communicate clearly and effectively in writing and speaking
  • Superior computer skills with proficient knowledge of Microsoft Office, Microsoft CRM, SharePoint, SurveyMonkey, Google drive, Box, DropBox, and other standard office software
  • Ability to work in a fast-paced environment and function with a high level of autonomy
  • Attention to detail with demonstrated competency in customer service and the ability to deal with ambiguity
  • Excellent planning, organizational, analytical, and problem-solving skills
  • Interpersonal skills necessary to learn and train individuals from a variety of backgrounds on new electronic systems and processes, and to effectively communicate and interface with both clients and colleagues

Preferred Requirements

  • Experience working with senior research leadership roles in an academic, hospital, contract research organization, independent IRB, or sponsor setting
  • 3-5 years of administrative work experience
  • Experience planning international and domestic travel
  • Experience providing technical support and troubleshooting/resolving IT issues
  • Experience managing multiple deadlines and competing priorities
  • Working knowledge of accreditation standards for human research protection programs
  • Working knowledge of regulatory requirements related to the review, conduct, and management of clinical research.
