The American Association of State Highway and Transportation Officials is currently seeking a Finance Specialist, a position located in Washington, DC.
Nature of Position:
Under the supervision of the Director of Finance and Administration, the Finance Specialist ensures the effective operation of internal office administration. This position typically performs a variety of tasks at one time, and must be able to establish priorities for the completion of time-sensitive, and at times confidential, assignments.
The Finance Specialist is regularly responsible for tasks that support internal office administration, which includes working with building management to support the maintenance of office space and responding to staff requests; and maintaining relationships with vendors and acting as the staff liaison for the company's teleconferencing/web conferencing, archive storage, and office supply services. As part of the process of new employee orientation, the Financial Specialist will train new employees on timekeeping and expense report tools, and present a package that contains necessary accounting and general administrative forms.
The Finance Specialist is also responsible for assisting the accounting team with regular duties such as the preparation and depositing of cash receipts; running monthly financial reports; resolving accounting inquiries from other internal departments and members of the Association; resolving staff expense report and timekeeping website challenges; processing employee time and attendance records; and regularly updating the association's chart of accounts, check request and billing forms. The Finance Specialist is expected to maintain an effective filing system for administrative documents and contracts as well.
he incumbent is responsible for departmental administrative responsibilities and assists the team as needed. Regular administrative duties include drafting correspondence; directing telephone calls to appropriate staff; sorting and distribute mail for the department; and other related activities as directed by the Director of Finance and Administration. In working with the Director of Finance and Administration, the incumbent will provide support for the Subcommittee on Internal and External Audit, which includes maintaining the committee database and website.
The successful candidate should have three-to-five years of administrative experience, preferably in an accounting environment; and be proficient in PC applications such as word processing, spreadsheets, and database applications for specific assignments. Good cognitive skills and English composition is required.
The incumbent must have an aptitude for working with figures, ability to work quickly, independently, and accurately by demonstrating excellent proofing capabilities for all assignments is required. The incumbent must be able to exercise sound judgment and pay close attention to detail, as well as take responsibility for projects of a sensitive and confidential matter. College-level coursework is desired and/or related degree is preferable, but not required.
