The American Association of State Highway and Transportation Officials is currently hiring a Human Resource Coordinator, a full-time position located in our Washington, DC office.

Nature of Position

The Human Resource Coordinator supports the Director of Human Resources in the effective administration of AASHTO’s recruitment, benefit administration, and employee development functions, and all other efforts necessary to create and maintain an exceptional human resource department to support Association staff.

Recruitment:

The Human Resource Coordinator works with the Human Resource Director to advertise open positions, and when necessary conducts the first review of incoming resumes to ensure candidates are relevant to the position. He/she also works with hiring managers to schedule phone and in-person interviews, and ensures that the necessary application materials are distributed to candidates, shared with the hiring managers as appropriate, and recorded and filed properly for applicant tracking purposes.

Following the hiring of a new employee, the Human Resource Coordinator works with managers to ensure AASHTO is prepared for the new employee’s first day. He/she assists in the onboarding of new employees, creates the employee’s personnel and benefit files, and updates reports as necessary.

Benefits:

The Human Resource Coordinator educates employees and answers routine questions about AASHTO benefits. He/she coordinates with AASHTO’s benefit broker as needed to troubleshoot benefit issues. The incumbent is also responsible for processing monthly benefit invoices, and accurately submitting HSA contributions for employees. The Human Resource Coordinator is also responsible for assisting the Director of Human Resources in managing AASHTO’s annual open enrollment processes and meetings, and in planning benefit/wellness fairs and other educational events throughout the year. He/she must maintain updated HR-related processes and benefits on the staff Intranet.

Employee Relations:

The Human Resource Coordinator tracks employee service anniversaries and communicates them with managers, assists in the purchase of service awards and when necessary, assists with the planning of celebrations. He/she manages AASHTO’s employee recognition program, and supports the Human Resource Director with the planning and logistical coordination of staff events and trainings such as all-staff meetings, volunteer opportunities, staff birthday celebrations, and other events throughout the year.

Other Duties:

The Human Resource Coordinator drafts new forms for policies, processes and initiatives implemented by AASHTO for review by the Director of Human Resources. Other routine duties include maintaining an organizational system for paper and electronic files; completing verbal and written employment verifications; drafting correspondence; and completing benefit-related and federal-mandated documents and reports such as those required for the EEO-1, ACA, OSHA and Vets-4212 reports, and other forms related to AASHTO’s affirmative action requirements. 

The Human Resource Coordinator also provides routine committee support to the AASHTO Agency Administration Managing Committee, the Committee on Human Resources, and the Committee on Civil Rights. This includes maintaining a current membership roster, posting to the committee websites, and assisting the Director of Human Resources with the preparation of meeting and webinar materials as needed.

Position Requirements

The successful candidate will have a minimum of two years experience in a position providing human resources support, and a bachelor’s degree in Human Resources, or a closely related field. The Human Resource Coordinator must have impeccable attention to detail and critical thinking skills, exceptional judgment and the ability to take responsibility for projects of a sensitive and confidential nature. He/she must have strong oral and written communication skills. The ability to conduct thorough research for employee-related needs, and the ability to efficiently utilize Microsoft Word, Excel, Outlook, and other routine applications are essential to this position. The incumbent must possess the ability to work quickly, independently, and accurately. Experience utilizing an HRIS is desired.
