Administrative Assistant (MSC Department)


Entry level position requiring at minimum a High School diploma or equivalent- Associate’s Degree in health/human services is preferred. Experience working with human service systems serving people with chronic health conditions and/ or developmental disabilities is desirable. Administrative Assistant should possess strong computer skills and be fluent in computer programs including but not limited to; Excel, Microsoft Word, Power Point. Strong attention to detail is needed.Administrative Assistant for the MSC Department will report to the Director of Programs, participates in a team based management model and respond to applicable work audits prepared by the QA team.


Position Overview

An Administrative Assistant functions as administrative support for MSC Department. These tasks will include administrative duties as well as case management tasks as needed. They generally partner with the Director of Programs to help facilitate the completion of necessary tasks deemed exclusively by the Director. 

Possible duties include:

  • Uploading and submission of DDP1, DPP2, and DDP4s into CHOICES for the Medicaid Service Coordination Department. This may require interaction via email and phone with OPWDD employees. Administrative Assistant must track the uploading and approval of these forms.
  • Track and scan all site visit sheets for the Medicaid Service Coordination Department. Administrative Assistant will work with the Director of Programs to ensure that documents are saved appropriately and that deadlines for site visits are being met by Medicaid Service Coordinators.
  • Review and approve or return to specified case manager completed Medicaid renewals for SKIP of New York clients. Administrative Assistant will also be expected to submit these renewals to the Medicaid office 2 times a week, more if necessary, and obtain a signed transmittal from the Medicaid office. Upon returning to the office Administrative Assistant will scan and save the transmittal as well as sign and return Medicaid Office Visit Request forms to each case manager.
  • Administrative Assistant will scan and send Requests for Service Amendments to the Quality Assurance Director of Programs. Administrative Assistant is responsible for ensuring they have been saved in the correct electronic files.
  • Administrative Assistant will scan and save completed audit sheets in appropriate electronic files.
  • Requesting medical forms, habilitation plans specific to HCBS waiver providers
  • Purging records by removing specific documents as far back as 18 months and preparing them to be scanned
  • Assist in making contact with external providers
  • Completing 999 memos and drafting social evaluations, as well reviewing DDP2s with families via phone
  • Inputting billing on behalf of the assigned supervisor/case manage
  • File documents in casebooks as needed
