Summary of Position
The Events & Corporate Relations Officer is responsible for all aspects of coordination and implementation of Tacoma Art Museum’s (TAM) fundraising donor/member events. They are also responsible for meeting the budget goals of Tacoma Art Museum through foundation and government grants and corporate sponsorships. This individual identifies and cultivates funding sources; prepares proposals, reports, and correspondence; and acts as a steward for all contributions within the corporate, foundation and government sectors. They work closely with the Director of Development on concepts and strategies for funding, manages the annual grants/reports calendar, and communicates information and results to the Development Department on a monthly basis. Ideal candidates will have experience in event logistics and planning, audience development, item procurement, promotion and budgeting, and working with volunteers/volunteer committees.
- Coordinate and implement all donor and fundraising events, including: Major Spring Fundraising Event, Major Fall Fundraising Event, Donor Trips and events including Member openings.
- Coordinates studio and collector events in conjunctions with Patron Circle events (i.e., Behind the Scenes tours/receptions, etc.)
- Coordinates some special cultivation events like Members’ Only Hours, Member Shop Weekend, and occasional community booth participation
- Serve as point of contact for all communication related to fundraising and donor special events
- Coordinates efforts across departments to facilitate the writing and preparation of all grant proposals, budgets, and reports related to foundation, corporate foundation, corporate sponsorship, and government funding solicitations.
- Projects monthly and yearly revenue goals and tracks progress toward reaching those goals. Maintains grants/reports calendar and roster which includes timelines for cultivation/stewardship action steps and deadlines for proposals, reports, and invoice/fiscal year agreement issuances.
- Responsible for all executive agreements, documentation, and permits for events as required.
- Plan Committee meetings with the Chair(s) so that meetings are rewarding, meaningful and efficient.
- Coordinate and communicate with appropriate departments to ensure appropriate staffing and other support, including visitor services, security, curatorial, education, and others. Maintain budget goals, handle P.O.’s, billing and payments to vendors.
- Track event attendance and donations in Altru Database
- Complete after-action assessment of each event’s effectiveness, successes, and areas for improvement.
- Manages annual Telefund campaign Infuses phone campaign strategies into membership/annual fund acquisition and renewal campaigns – this includes the use of the phone for stewardship purposes
- Regularly meets with and solicits both new and established donors in the corporate, foundation, and government sectors. Develops and implements cultivation strategies and effective stewardship of these funding sectors.
- Perform other duties as assigned
- At least one-year minimum experience in event planning.
- Associate’s Degree and/or equivalent level of training and experience.
- Basic understanding of nonprofit fundraising, grant writing, administrative processes and procedures, standard accounting practices, and database use
- Excels at setting and managing realistic deadlines; strong time management skills.
- Experience managing and working with volunteers and outside vendors.
- Ability to multitask and juggle many projects at once.

Travel, Working Conditions, Physical Requirements and Environment include
The essential physical requirements of this position include:
- Ability to lift objects (up to 50 pounds) and perform other similar actions during the course of the workday.
- Continuously exchange information through listening and talking with staff, volunteers and individuals in the community.
- Negligible local travel, less than 5% of work hours.
- Some evening and weekend work as necessary per events schedule
- Occasional need to stand, stop or walk for long periods of time
