Job Title:   Director of Special Events

Reporting to:  Chief Development Officer 

Salary Range:  $70,000 - $80,000 (DOE)

Position Summary:

Family Equality is a distributed organization, with employees throughout the country. The Director of Special Events may be based in a from-home work environment, working closely with the Chief Development Officer and the organization’s leadership team to underwrite, expand, and implement Family Equality’s signature fundraising galas (New York’s Night at the Pier and Los Angeles’ LA Impact), as well as our key Family Night event during Family Week.

The Director of Special Events plans, develops and executes strategy and implementation for three large-scale fundraisers/events and assists with multiple smaller events each year, in conjunction with the Development team and cross-departmental stakeholders. This position also assists the Chief Development Officer and Chief Executive Officer in the identification, cultivation, and solicitation of corporate partners and individual major donors for events by conducting prospect research, tracking donor information in the organization’s database, and scheduling and participating in donor visits. As the primary point of contact for a wide variety of constituents (donors, corporate sponsors, foundations, vendors, and volunteers), this position requires a strong customer service mindset, capacity for flexibility, and a desire and ability to effectively communicate our work to a broad range of audiences.  

Responsibilities:

Strategy & Planning

●      Work with the Chief Development Officer, Director of Community Engagement, and other organizational leadership to create a comprehensive plan for all fundraising events, as well as identify new opportunities for fundraising events. Planning includes: developing a working budget, maintaining an events calendar, and creating annual work plans for all the moving parts and logistics of each event. Organize, manage, and implement three major fundraisers.

●      Research, engage, cultivate, and solicit all corporate sponsorships for event financial support, in collaboration with the Director of Corporate and Foundation Relations.

●      Prospect, develop, nurture and maintain individual donor relationships as they align with the major events.

●      Assist in recruiting, managing, and supporting event Chairs and Host Committee members to expand Family Equality’s reach in each event's geographical area, planning for succession for each committee role.

●      Work with the Event Leadership Committees for each of the major events. Coordinate & run meetings, share information, track progress and notes, and update staff as necessary. Work in collaboration across departments, including our Communications, Policy and Program teams, to design and implement methods of showcasing organizational work in fundraising settings.

●      Develop a library of best practices and systems for event production, implementing systems that ensure our strategic plan and department-specific objectives are met. Document each of these systems and processes in a living SOP document.

●      Recruit volunteers in collaboration across departments; create and implement trainings for event staff, local partners, volunteers, etc. that ensure well-run events that leave all participants feeling appreciated, valued, and that their contributions have made a positive impact for the families we serve.

●      Work with the Chief Development and Communications Officers to coordinate an overall marketing strategy for fundraising events. 

Event Management

●      Establish and manage budgets, track spending for fundraising events, and provide periodic analysis.

●      Manage on-the-ground logistics during events, contracts, purchases, evaluation processes, and the training and supervision of event staff, ensuring quality always meets or exceeds expectations.

●      Manage the recruitment and supervision of volunteers, coordinate invitations and marketing, oversee registration and event tracking, liaise with auction chairs, show producers, performers, presenters, etc.

●      Manage, motivate and help clear any roadblocks for all fundraising events, including issues associated with what type of event to offer, the location, identifying sponsors, and establishing partnership details of given events.

●      Communicate regularly with all team members and foster working relationships with the event teams, volunteer managers, and other organizational staff to ensure the success of events.

●      Develop and maintain strong professional networks and relationships with outside partners, vendors, event participants and volunteer leadership.

●      Perform other duties as required.

Qualifications:

●      A proven track record of planning and executing successful fundraising events

●      A strong communicator, with excellent written, presentation, oral communication, and interpersonal skills

●      Possess strong leadership skills, and able to motivate and influence others

●      Ability to think creatively and strategically, exercising excellent judgment

●      Ability to work well and thrive in a dynamic and changing environment

●      Extensive experience recruiting and working with volunteers, donors, and organizational decision-makers to achieve desired outcomes

●      A self-motivated, high-energy, results-oriented team player with experience in working with and through groups to achieve desired outcomes

●      Ability to confirm mutual understandings, close the deal, pay attention to detail and manage a variety of individuals and groups

●      Experience working with donors, soliciting major (five/six-figure and above) gifts

●      A strong commitment to providing high quality, proactive customer service

●      Strong detail management and analytical skills

●      Bachelor's degree and 3-5 years of experience in event management is preferred.

●      Ability to take initiative and work independently, while acting as part of a team.

This position requires a fair amount of travel. Each of the gala events will require a minimum of three trips. The major event during Family Week requires the attendance at that one-week event.
