Position Summary

The Director of Finance and Administration (DFA) serves as the organization’s chief financial officer and oversees a number of administrative functions, including Finance, Operations, and Human Resources. Reporting to the Director, the DFA staffs the Finance and Audit committees of the Board of Trustees, supervises the Manager of Operations, and works in partnership with other staff to monitor finances and ensure proper recording, analysis, and budget tracking.

The responsibilities of this role include, but are not limited to, the following:


Financial Oversight 

  • Oversee all aspects of SculptureCenter’s finances, ensuring the short and long-term stability of the institution and alignment with the Director’s vision.
  • Execute all accounting functions including accounts payable, receivables, and general ledger entries.
  • Responsible for all banking: making deposits, setting up wire transfers, petty cash reimbursements, monitor investment account(s), and credit account(s).
  • Serve as point of contact with investment firm and work with Director to oversee investment portfolio.
  • Produce and distribute weekly revenue reports to all relevant staff, and meet to reconcile contributed and earned income and expenses with key staff in development, marketing, operations, exhibitions, etc.
  • Supervise all audit functions and contract with auditing firm, including oversight of the external audit and preparation of the Form 990; ensure regulatory compliance. 
  • In conjunction with the Director and senior staff, lead the annual budget process.
  • Serve as the key staff liaison to the Finance and Audit committees of the Board.
  • Manage organizational cash flow and forecasting.
  • Institute and maintain best practices in both non-profit and philanthropic financial management.

Operations 

  • Manage SculptureCenter’s insurance broker, policy, and claims.
  • Handle all communications with office space landlord and manage lease agreement.
  • Supervise the Manager of Operations:

Ø  Ensure the functional oversight of security systems, building maintenance, facility compliance, etc.

Ø Oversee preparation and execution of major capital projects, renovations, and building repairs.

Ø IT operations, information accessibility, data security, Internet and phone services.

Ø Vendor contracts related to cleaning services, security, building repairs, fire and elevator inspections, etc.


Human Resources 

  • Handle all human resources management, including compensation and healthcare benefits, employee and labor relations, and maintain compliance with NYS labor laws.
  • Handle all facets of payroll, including tracking time off, managing employee deductions, collecting timesheets, etc.
  • Manage transit check program and distributes MetroCards to staff.
  • Maintains 401(k) and other benefit accounts.
  • Develop and maintain employee handbook.


Qualifications

  • A Bachelor’s degree required.
  • A minimum of 5-7 years of nonprofit financial and administrative management experience, preferably in an arts and culture setting.
  • Demonstrated ability to build systems that enable efficient budgeting and financial controls. 
  • Strong analytical and financial management skills.
  • Knowledge of generally accepted accounting principles for nonprofits and philanthropic financial management, including: USGAAP, USGAAS, and an understanding of IRS regulations for nonprofit entities.
  • Prior experience administering payroll, A/P, A/R, and employee benefits.
  • Strong knowledge of nonprofit governance and experience interfacing with governing boards.
  • Excellent working knowledge of QuickBooks, Microsoft Word, and Excel.
