Applications are being accepted for a two-year position as an Administrative Officer in the East-West Center’s office in Washington, D.C. (EWCW). The Administrative Officer provides administrative and programmatic support including support for planning, coordinating and implementation of meetings, workshops and seminars and provides general administrative liaison with the East-West Center’s home office in Honolulu. The position provides overall office management including preparing and monitoring budgets and works with the Fiscal Officer to keep the Director informed of the financial status of activities; prepares purchase documents, participant agreements and other financial documents including grant reports. The Administrative Officer also assists with effective communication and coordination among staff; receives and directs calls and visitors; coordinates the Director’s calendar; handles requests for information; develops and maintains the office filing system; manages property and space within the office; coordinates technology needs; assists in planning and coordination of meetings, seminars and events; negotiates service agreements with vendors; schedules and arranges travel and catering for events; makes travel arrangements for the Director; and performs other duties as necessary.
REQUIRED QUALIFICATIONS: Bachelor’s degree or equivalent plus three years of full time experience performing office management, general administrative support, budget planning and monitoring and other functions that demonstrate the ability to perform the duties of this position. Demonstrated ability to organize and carry out assignments by independently determining applicable regulations and procedures and appropriately applying policy and administrative directives; to apply sound judgment in making recommendations related to administrative matters; to maintain a high level of accuracy in working with numbers and other detailed matters; to communicate effectively both verbally and in writing; to work cooperatively and effectively with people of diverse backgrounds; to implement and coordinate logistical arrangements for conferences, workshops, and other meetings. Ability to effectively handle numerous complex details; to set priorities and work under pressure; to adjust work operations within available resources; to anticipate and solve problematic situations; to work independently; to adapt to changes; to appropriately handle confidential material; to exercise initiative and good judgment in dealing with a variety of situations; and competency with various computer applications.
SALARY: $56,233 per year and an attractive benefits package.
