Executive Assistant to the President

About the role:

This full-time position requires an individual with exceptional writing and administrative skills, who can work well with a busy and focused CEO to strengthen and enhance NAOP’s operations. The candidate will assist the CEO and play an important role building the infrastructure of a growing organization as it oversees the 200th anniversary of the birth of Frederick Law Olmsted in 2022 and leverages the celebration going forward.


Reports to:  President


Duties:

·     Preparing correspondence, reports, thank you’s for president’s signature,

·     Managing CEO calendar and scheduling internal and external meetings, building agendas, providing copy editing for reports and grants,

·     Managing O200 working group schedules, zoom meetings, lists and follow up,

·     Managing schedules, zoom meetings, minutes and related documents for Board and Board Committee and working group meetings,

·     Coordinating large projects working with the president,

·     Planning and coordinating professional workshops and conferences,

·     Managing office systems and working with outside accounting staff and third party vendors (including IT),

·     Overseeing internal financial reports,

·     Tagging and customizing donor and other lists

·     Implementing fund-raising strategies including letters and communications


·     Monitoring expenditures and managing tax and HR compliance with third party vendors,

·     Assisting with updating of Websites,

·     Other tasks as assigned.


Qualifications:

·     Minimum of Bachelor’s degree in related field preferably with a minimum of 3-5 years experience, but also welcome qualified life experience candidates with a minimum of 3-5 years experience.

·     Familiarity and facility with Word Press, Microsoft Office 365 (Outlook, Word, Excel and Powerpoint), Google Docs, Google Analytics, Mail Chimp, SalesForce, Twitter, Facebook, Adobe, Instagram, Paypal, Hootsuite, Quickbooks, and data entry.

·     Ability to write, prepare and edit in a creative manner and work with prospective donors.

·     Attention to accuracy and detail and strong organizational and management skills.

·     Ability to work well independently and collaborate with others remotely.

·     Ability to manage multiple priorities in a fast-paced workplace.

·     Candidates should share NAOP’s dedication to promoting parks, landscape architecture, and interest in the life, work and legacy of Frederick Law Olmsted and the Olmsted Firm.
