Position Summary:

We are looking for a dynamic HR Assistant to join the Metropolitan Opera’s Human Resources-Payroll team. We serve approximately 3,000 employees who work both onstage and behind the scenes to bring our opera productions to life each season.

This role provides vital administrative support to the Director of Human Resources/Labor Relations and the Human Resources department and also helps employees who visit or call the department with a variety of questions and concerns. The ideal person for this role will be detail oriented, extremely organized and able to multi-task in a fast paced and unpredictable environment. It is essential that this person be engaging, welcoming, kind, and highly patient to provide stellar support to our employees, assisting with needs and inquiries as they arise. We are looking for someone to help facilitate the new hire paperwork process, enter and review personnel actions, assist with the processing of benefits-related paperwork and tasks, and provide scheduling and logistical support for various HR events, and other duties that support the various Human Resources functions of the organization.

Primary Responsibilities: 

  • Provide administrative support to Director of Human Resources/Labor Relations and others, as needed, including answering phones, managing calendars, completing expense reports, filing, and taking meeting notes
  • Along with the other HR Assistant, serve as receptionist for the department, assisting employees on the phone and in person with a variety of questions and concerns
  • Assist new hires with required paperwork, ensuring paperwork is completed appropriately. Ensure compliance with I-9 requirements and maintain knowledge of applicable rules and regulations regarding work authorization
  • Assist in preparation of employee newsletter and other employee communications
  • Provide scheduling and logistical support for frequent HR training and orientation sessions
  • Assist with processing of benefits-related paperwork and tasks
  • Enter data related to new hires, personnel actions, and employee-initiated data changes and review personnel action data entry for accuracy
  • Participate in preparation of mass in-house informational distributions and mailings to employees

 

Education and/or Experience

  • Prior HR experience preferred    
  • Excellent oral and written communication skills - bi-lingual skills a plus
  • Proficiency in Microsoft Word, Excel, and Outlook
  • Strong technological aptitude
  • Ability to work well in a high-pressure/fast-paced environment
  • Ability to deal with a variety of personality types with poise and professionalism
  • Ability to learn and adapt to a changing work environment
  • Ability to handle confidential information with the utmost discretion
  • Ability to work successfully both independently and as part of a team
  • Regularly required to sit, talk, read, and hear
  • Frequently required to use repetitive hand motion and to stand, walk, reach, bend
  • Occasionally required to lift up to 20 pounds.
