Accounting (50%)

• Accounts Payable/Receivable: Issue checks for bills and employee reimbursements in an accurate and timely manner; ensure that all expenditures are appropriately categorized; record donations, grants, contracts, pledges, etc. in the accounting system; ensure revenue is appropriately categorized; communicate with team members regarding the timing of deposits and payments in order to ensure adequate cash flow.

• Payroll: Process new employee paperwork; assist with semi-monthly payroll process and benefits administration as needed.

• Banking: Maintain supply of checks for each bank account; maintain online bill-pay system for retail vendors.

• Annual Audit: Ensure strict adherence to audit requirements as instructed by Controller; prepare for and cooperate with those appointed to perform a yearly audit of financial records; participate in quarterly spot checks by Finance Committee.

• Clerical:  Proactively maintain highly organized online filing system; files invoices, payroll paperwork, reimbursements, insurance information and other financial records.

• Human Resources: Coordinate all employee benefit programs and paperwork, employee change forms, new employee documents, paid leave accrual tracking systems, timesheets, personnel files, and etc.

• Contract Administration: Support Associate Director and Controller in managing financial reporting requirements tied to government grant contracts.

• Other: Order and maintain organizational business licenses, registrations, and certificates; assist as needed with budget and financial report preparations; perform other necessary and related work as may be assigned.


Loan Administration (30%)

• Loan Documentation: Review loan applications and loan files, coordinate with program staff on application to ensure accuracy.

• Payment Collection and Processing: Process loan transactions, including but not limited to setting up accounts, payment transactions, loan restructuring/re-issuing and accrued interest tracking and final loan payments.  Manage payment transaction processing and monthly invoicing process.

• Loan Data Systems: Create and maintain current/accurate paper files and electronic loan files in loan database.

• Support Small Business Administration Reporting: Update Small Business Administration’s web system (MPERS), submit monthly report to credit bureaus, coordinate quarterly reporting to SBA (including Loan Loss Reserve Fund and Microloan Revolving Fund reports). 


Coaching for Loan Clients (20%)

• Coaching: Be available to provide empathetic, mission-driven business coaching to Ventures clients regarding QuickBooks and bookkeeping questions.

• Loan Support: Provide additional coaching to loan clients on loan repayment plans.


Other duties may be assigned as needed.


DESIRED QUALIFICATIONS: 


Knowledge of:

• Principles and practices of bookkeeping and accounting.

• Fundamentals of budgeting, bookkeeping, cash flow, accounts payable, etc.

• Human resource management experience, especially with setting up systems and maintaining compliance.

• Computer and technology systems including QuickBooks and Microsoft Excel.



Ability to: 

• Maintain highly organized and detail-oriented work style;

• Multi-task and meet strict deadlines;

• Respond promptly to emails and requests;

• Communicate effectively both in writing and verbally

• Demonstrated aptitude for math and numbers;

• Demonstrate a high level of professionalism in dealing with confidential and sensitive issues.


Experience & Education: 

• Two to three years of bookkeeping or related experience at a small business or nonprofit organization;

• The following are not required, but are strongly encouraged for this position: 

o Experience working with vulnerable populations 

o Experience working in a nonprofit organization

o Spanish language skills


DETAILS:

• Department: Operations and Capital

• FLSA Status: Non-Exempt

• Supervisor: Associate Director

• Supervisory Responsibilities: none

• Schedule: 40 hours per week, flexible schedule, some evenings required 

• Location: 2100 24th Ave. S. Suite 380 Seattle, WA 98144, due to COVID-19 all Ventures staff are encouraged to work remotely through June 30, 2021
