Job Summary:

  • Provide program support to the following live ATS Early Career Professional events:
  • Student Scholars Program
  • Resident Boot Camp (RBC)
  • International Boot Camp
  • Fellows Track Symposium (FTS)
  • Fellow to Faculty Boot Camp
  • Support the Members In Transition and Training (MITT) and Training Committees, including coordination of all corresponding projects, programs and centers
  • Provide support to all ATS Virtual Programs, including the Virtual FTS and RBC, Career Development Core and Research Core webinar and podcast series. Assist with the ATS Early Career Professional social media accounts.
  • Support tasks and activities related to the education unit’s data sources to provide analytical support as needed for programs

 

Responsibilities:

 

Support of ATS Early Career Professional Live Events

Support the Director and Manager of Education Programs with the projects and tasks associated with the ATS Early Career Professionals live events, including the Student Scholars Program, the Resident Boot Camp, International Boot Camp, Fellows Track Symposium and Fellows to Faculty

  • Serve as the singular point of contact for all medical students, residents, fellows, junior faculty and training program directors; answer and respond to all email and phone corresponding regarding the ECP live events
  • Oversee registration/enrollment of students and faculty into the ATS ECP programs and serve as primary contact
  • Liaise with students, faculty and the ATS Finance Department in coordination of all travel stipends
  • Liaise with the international students attending the International Boot Camp to ensure VISAs, housing and travel accommodations are handled
  • Assist with all communications with students and faculty
  • Assist with the setting up and scheduling of all ECP working group conference calls, including taking meeting notes
  • Assist with the evaluation and educational data collection to prepare an annual report for the grant reconciliation process of the Fellows Track Symposium
  • Manage and maintain electronic and web-based program materials via the ECP web portals for all programs

 

Support all ATS Virtual Programs

  • Provide support to all ATS Virtual Programs, including the Virtual FTS and RBC, Career Development Core and Research Core Training Series
  • Assist with all programming elements of the ATS Virtual FTS and RBC programs including overseeing registration and day-of technical support of webinars and Facebook Live events
  • Assis with the post-production support of virtual education, including working with the ATS IT department to create an online learning management system (LMS) platform
  • Assist with the coordination of faculty speakers, including setting up

 

Committee Support for MITT and Training Committees(s)

Support the Director and Manager of Education Programs with direct support of the MITT and Training Committees. Programs include:

  • Fellows Toolkit: Online portfolio of educational resources accessed by over 280 first year fellows including webcasts, podcasts, reading materials, and general ATS information
  • Early Career Professionals Roadmap
  • Center for Career Development (CCD): Includes management of over 40 speakers and working with key vendors to ensure workshops are planned with maximum efficiency
  • Innovations in Fellowship Education program
  • Fellows Case Conference
  • ATS Adult and Pediatric Track Reading Lists
  • LungEd Training Program Director newsletter

 

Support of ATS International Conference Activities

Support all aspects of the ECP events at the ATS International Conference, including the ATS Virtual Programs. Manage all aspects of the Center for Career Development and the Early Career Professional Exchange.

 

Year-Round Education Admin Support

•    Assembly and compilation of data for incorporation into reconciliation reports 

•    Creates spreadsheets, maintain education databases

•    Scheduling conference calls, calendar management, travel and expense support

•    Taking and/or transcribing meeting notes

•    Ordering supplies for departmental needs, keeping inventory levels of conference materials on hand

•    Shipping materials to various conferences and other mailings

  • Ensuring each product (e.g. podcast, social media content, etc.) is released in a timely fashion with little to no supervision
  • Provide timely status updates to the Chief Program Officer as needed
  • Creative, insightful and innovative


Committee Coordination

  • Committee communications are clear concise, and timely

  • Ability to balance multiple projects with competing deadlines and complete them in order of priority with minor supervision
  • Must be able to multi-task, planning several events simultaneously

International Conference

Qualifications:

  • Associate degree (60 college credits), BA/BS degree preferred, and two years’ experience working in an office setting in an administrative capacity required.                                          
  • Excellent computer skills, including proficiency in MS Outlook, Word, Excel and working knowledge of assorted database programs such as Access.
  • Excellent oral and written communication skills.
  • Must have very strong organizational skills and ability to work on multiple projects simultaneously.
  • Ability to work independently and in team-based settings
  • Some travel required (International Conference and PG Course Review and Selection meeting)
  • Strong project management skills and demonstrated attention to detail
  • Understanding of ACCME rules and regulations a plus
