Manager of Finance and Administration

The Manager of Finance and Administration will be a key member of the Finance and Management Team, which works together to successfully provide careful stewardship of the Academy’s financial records, grants and contracts management, and other financial procedures to support the smooth running of the organization’s operations and programs. The ideal candidate is a savvy self-starter possessing strong organizational skills, creativity, confidence, and attention to detail.

Reports to: CEO

Terms of Employment: Part-time, exempt. Based in Washington, DC or remote working flexibility.

Bargaining Unit Status: This is not a bargaining unit position.

RESPONSIBILITIES (Estimated % of annual workload)

Financial Management: (50%-60%)

  • Manage organization vendor (A/P) and customer (A/R) information and invoices in accounting software (QuickBooks)
  • Complete monthly account reconciliations (Reconcile activities from all major bank and credit card accounts, payroll, endowment, etc.)
  • Work closely with Management Team and external accountants to complete quarterly and yearly closes and keep accountants abreast of organization financial activity
  • Manage monthly cash flow and provide cash flow statements when appropriate
  • Assist with annual organizational budget, in conjunction with Grants Manager
  • Assist with budget and cash flow statement for quarterly Board Finance Committee meetings
  • Assist with grant/program reporting, work closely with Grants Manager to ensure accurate and timely submission
  • Assist with application and forgiveness for COVID-related programs (PPP, ERTC, etc.)
  • Assist with annual audit
  • Support auditors in preparing accurate preparation of IRS Form 990 and Financial Statements

Administrative/HR Management: (30%-40%)

  • Manage office certificates, tax documentation, etc.
  • Prepare payroll bi-weekly for full staff for submission by CEO
  • Assist with enrollment and renewal of staff benefits
  • Update and manage Personnel Policies and Procedures manual
  • Update, develop, plan and implement new/current office procedures
  • Coordinate with outsourced HR advisors

Organizational Management (10%-20%)

  • Work with Grants Manager, assigning tasks and directing work as necessary
  • Work on strategic planning from an operational and finance perspective
  • Work to develop and co-facilitate Diversity, Equity and Inclusion (DEI) strategic plan initiatives within the Academy
  • Advise organization on decisions from a DEI perspective

QUALIFICATIONS

  • 5-7 Years of proven experience and knowledge of accounting/operations experience; preferably for a nonprofit organizations
  • 1-2 Years of experience in a supervisory or team lead role preferred
  • Proficiency in QuickBooks
  • Adeptness in Excel strongly preferred
  • Familiarity with Paychex a plus
  • Highly organized, with very careful attention to detail
  • Ability to work independently and prioritize assignments

Compensation: Salary is commensurate with qualifications and experience.
