The Accounting Associate will play a vital role in REST’s financial integrity by managing all aspects of accounts receivable and grants administration. Contributions and grants make up the majority of REST’s $3 million budget. The ideal candidate will thrive on being accountable to a high-performing team, will suggest and implement process improvements, and will bring a growth mindset. This position reports to the Finance Manager and is a member of the Operations team.


RESPONSIBILITIES

ACCOUNTS RECEIVABLE

  • Responsible for accurate and timely recording of all income. Record gifts, pledges and payments using a variety of applications and processes.
  • Maintain income tracking sheet and collaborate with Development Director to ensure proper coding of all gifts.
  • Maintain accounts in a variety of online portals (credit card merchant services, corporate matching, donation-management platforms)
  • Regularly reconcile income recorded in donor management software (Etapestry) against that in the accounting software (QuickBooks Online)


GRANT MANAGEMENT

  • Responsible for all stages of grant management: building grant specific budgets and reports, adhering to compliance processes, creating invoices and payment submissions, and handling post-award financial procedures to ensure compliance with reporting requirements.
  • Establish and maintain effective systems for tracking the use of restricted funds and expenses associated with specific programs and projects; maintain detailed records of restricted gifts and grants received, uses of restricted funds, and remaining balances of all restricted funds.
  • Maintain knowledge of funder requirements and collaborate with Fund Development staff and Program Managers to ensure that expenditures are consistently aligned with grant, project and program budgets. Implement procedures to communicate, educate and ensure compliance with grant regulations throughout the organization.
  • Provide weekly grant-specific budget updates to program staff
  • Collaborate with Finance Manager on accounting practices for the expenditure of funds, including coding and cost allocation.
  • Maintain current and accurate financial record keeping and documentation in QuickBooks, Dropbox, and the physical accounting files, in accordance with company policy and accepted accounting practices.
  • Assist with preparation for any audits, tax documentation, or requested financial reporting for grant applications or reviews.
  • Perform or assist with special projects and duties as assigned


QUALIFICATIONS

JOB SKILLS AND PERSONAL TRAITS PREFERRED:

  • Five years of financial management experience; experience with nonprofit accounting and restricted funds management preferred
  • Experience in grant-based accounting, fund accounting and fiscal grants management of federal and non‐federal funds.
  • Proficient in Macintosh operating systems and with Microsoft Office, Google Drive, internet, Etapestry, and QuickBooks Online
  • Ability to anticipate and solve problems and meet deadlines in a professional, positive manner.
  • Ability complete detailed tasks for which accuracy and consistency are critical. Ability to give and receive instructions on how to complete such tasks.
  • Ability to recommend and implement process improvements to enhance operational efficiency.
  • Collaborate with staff to support process changes.
  • Strong interpersonal skills and demonstrated ability to communicate well verbally and in writing and develop working relationships with a variety of people. Ability to lead and foster teamwork
  • Ability to convey financial information in a simple and clear manner to non-accounting/finance, staff and stakeholders.
  • Ability to be productive in a remote work setting. Able to participate fully in video conference meetings.
  • Highest possible integrity and credibility. Able to maintain confidentiality of sensitive information.
  • Personal alignment with the REST mission, values and statement of faith


HOURS:

40 hours per week, typically Monday - Friday with a flexible start and end time.


LOCATION:

Telework and REST Administrative Office in Downtown Seattle


COMPENSATION:

Salary range is $25.96 -$29.33 per hour. REST has adopted a salary scale as part of its compensation plan. A range indicates the intention to accommodate those with varying years of relevant experience, as determined by the salary scale.


JOB CONDITIONS:

This position encounters a variety of daily work situations. There may be routine transactions or complexity that requires independent problem-solving. Processes may change based on changing needs of the organization, new technology or news ideas for efficiency. Position operates independently with minimal supervision. Errors in work can adversely affect cash flow, accurate financial statements and funder relationships.

Work is performed in an telework and office environment which may require extensive sitting or standing. Position works under constant time constraints. Performs extensive computer work, including using a keyboard, looking at a screen, using the internet, email and video conferencing.
