Job Description: Administrative Assistant
Reports to: Program Director
Location: Tier II Shelter (Phipps Neighborhoods/ Sojourner Truth House)
The Administrative Assistant provides administrative and clerical support to the Program Director and other clerical staff.
Duties & Responsibilities:
•Responsible for writing and typing correspondence, taking minutes, compiling and reviewing reports; copying, filing and faxing.
•Answer telephones and takes messages; covers the booth in the absence of the Residential Aide, greet clients and guests, and provides referral information as needed.
•Prepares weekly payroll and keeps track of employee’s time accumulation.
•Responsible for ordering office and program supplies; keeps track of office inventory; processing of check requests and petty cash.
•Responsible for upkeep of office equipment.
•Attends program and agency staff meetings, supervisory and in-service training sessions. • Prepares census and direct billing reports for HRA reimbursement.
•Keeps track of staff schedules and updating staff/phone list.
•Assist with development and implementation of programming and special events at the shelter.
•Assist counselors with meeting client needs as appropriate.
•Prepares programmatic report
•Updates apartment list, activity sheets and chronological admissions/discharges.
- H.S. Diploma or equivalent. BA Preferred.
- Two years’ experience as an Administrative Assistant or Secretary.
- Type 50wpm and computer literacy required.
- Good organizational skills.
- Ability to work well with others and be responsive to the needs of the families.
