Affiliates Risk Management Services, Inc. (ARMS) is a New York-based nonprofit organization that assembles and administers a comprehensive insurance program of coverages for reproductive health centers around the United States. Key to ARMS’s mission is providing risk-mitigation programs, internet-based education and training, and risk and quality management services to help clients enhance patient safety, improve health outcomes, and minimize the risk of loss.

ARMS seeks to hire a full-time Executive Assistant to coordinate all logistical and administrative aspects for the Board of Directors and provide high-level administrative support to ARMS’s President and CEO, COO, and General Counsel. This position is an opportunity to work closely with a nonprofit legal and executive team to advance a mission-driven organization.

Duties and Responsibilities:

  • In partnership and under the direction of the President and CEO, plans and executes the logistics of all Board of Directors meetings and related activities throughout the year. This includes handling all aspects of Board Affairs such as confirming travel arrangements for board members, contracting with meeting and dining facilities, and handling related TERs and other administrative paperwork. 
  • Under the direction of the General Counsel, prepares, coordinates, organizes, and distributes meeting materials for all board and committee meetings of ARMS and its affiliated entities.
  • Assists President and CEO in her planning and preparation for external meetings with, and presentations to, various stakeholders (e.g. underwriters, affiliates, funders, etc.) including background research, preparation of PowerPoint presentations, organizing meeting handouts such as brochures and reports, and arranging travel and hotel logistics.
  • Maintains and updates ARMS’s organizational chart and Introduction to ARMS presentation for ongoing use by President and CEO.
  • Performs a range of high level administrative support services to the President and CEO, COO, and General Counsel including word processing, copying, and logistical arrangements for meetings as required. Able to access and retrieve electronic and hard copy of files for organization.
  • Provide assistance to the COO on special projects as needed.
  • Under the direction of the General Counsel, organizes and maintains complete and accurate corporate records and meeting minutes for ARMS and its affiliated companies. Such records and minutes will be maintained in both hard copy and electronic format.
  • Other duties and special projects as assigned.

Job Requirements:

•        Bachelor's degree required.

•        Minimum of 2 years of administrative experience required.

•        High proficiency with complete Microsoft Office suite of products: Word, Excel, Outlook, PowerPoint is required.

•        Excellent written and oral communication skills.

•        Strong writing and/or proofreading skills.

•        Professional demeanor and positive interpersonal skills with both internal and external contacts.

•        Pro-active self-starter who takes initiative.

•        Ability to maintain daily work flow while working on multiple tasks.

•        Ability to handle confidential and sensitive matters with tact and discretion.

•        Ability to function with flexibility, adaptability, and composure during fast-paced periods.

•        Ability to work well with all levels of management, staff, affiliates, and external contacts.
