    SAMU is seeking interested candidates for an upcoming opportunity. This position is not currently open. Employment is contingent upon contract award and funding availability.

    Program Overview

    The Sunaire Emergency Shelter Program is a trauma-informed, low-barrier, and person-centered initiative designed to stabilize individuals and families experiencing homelessness in the City of Mesa. The program aligns with the City’s Office of Homeless Solutions and HUD’s HOME-ARP framework, targeting Qualifying Populations (QP1–QP4), including those experiencing or at risk of homelessness, survivors of domestic violence, and individuals facing special challenges such as disabilities or aging out of institutions.

    Role and Responsibilities

    The Operations Coordinator is responsible for ensuring that all logistical, facility, and administrative functions of the shelter run smoothly and efficiently. This position manages the day-to-day physical operations of the site — including supplies, vendor coordination, maintenance, transportation, and compliance with health and safety protocols — to create a safe, organized, and functional environment for residents and staff.

    Key responsibilities include:

    • Conduct regular facility inspections to ensure safety, cleanliness, and functionality of all resident and staff areas.
    • Coordinate maintenance and repairs with internal teams, contractors, or city facility departments; track requests through completion.
    • Maintain inventory of furniture, linens, appliances, and other facility equipment; ensure replacements or repairs are addressed promptly.
    • Support the implementation of Good Neighbor Policy by maintaining orderly outdoor and communal spaces
    • Manage the procurement, storage, and distribution of supplies, including food, hygiene items, linens, cleaning products, and office materials.
    • Track inventory levels and reorder supplies proactively to prevent shortages.
    • Coordinate receipt of donations and in-kind goods, ensuring accurate tracking and equitable distribution to residents.
    • Liaise with vendors providing services such as janitorial, pest control, laundry, catering, and transportation.
    • Review invoices, delivery receipts, and service contracts for accuracy and compliance with procurement policies.
    • Ensure that all vendors comply with safety and confidentiality standards when operating on-site.
    • Assist the Program Manager in negotiating and monitoring service agreements or memoranda of understanding (MOUs) with community partners.
    • Oversee vehicle scheduling and usage for resident transport, supply runs, and off-site appointments.
    • Ensure drivers comply with safety protocols, maintain logs, and complete vehicle inspections.
    • Coordinate with the Transportation Assistant to manage pick-ups, drop-offs, and urgent transportation needs.
    • Ensure compliance with OSHA, fire, and public health standards.
    • Maintain up-to-date emergency procedures (evacuation, fire, severe weather, medical incidents) and support staff training in these areas.
    • Conduct routine safety drills and ensure that safety equipment (fire extinguishers, first aid kits, AEDs) is operational.
    • Support Site Supervisors and Security staff in enforcing safety protocols and handling incidents.
    • Prepare weekly operational reports summarizing key facility and logistics metrics for the Program Manager.
    • Support compliance audits and funder reporting by providing accurate operational data.
    • Collaborate with Intake Coordinators and Case Managers to ensure new residents have ready rooms, hygiene kits, and linens upon arrival.
    • Support the Site Supervisor during emergencies or peak occupancy periods by providing logistical backup.

    Qualifications and Requirements

    • Associate’s or Bachelor’s degree in Facilities Management, Logistics, Public Administration, or related field preferred.
    • Minimum 2–3 years of experience in shelter operations, logistics, facility management, or humanitarian/emergency response.
    • Strong organizational, problem-solving, and communication skills.
    • Ability to build trusting relationships with vulnerable populations and work effectively within a multidisciplinary team.
    • Familiarity with trauma-informed, harm reduction, and culturally competent service approaches.
    • Bilingual (English/Spanish) preferred but not required.
    • Proficiency in maintaining case documentation and adhering to confidentiality standards.
    • Able to thrive in a fast-paced, multicultural environment.

    Physical Demands
