POSITION SUMMARY

The Development Associate is responsible for ensuring the smooth daily operation of the Development and External Affairs departments by providing proactive administrative support.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Office Administration

  • Handle all administrative tasks, including, arranging and set-up of all departmental meetings (i.e. prepare and distribute agendas, collateral materials, and/or food arrangements, etc.).
  • Assemble media and donor kits for events and meetings.
  • Maintain inventory and order departmental supplies.
  • Schedule and attend External Affairs meetings. Prepare and distribute agendas and take notes during meetings.
  • Keep track of department finances, including check requests, budget, invoicing, and reporting, and other duties, as assigned.
  • Fundraising and Communications Support
  • Communicate with donors and board members and convey a positive and professional image, especially during high pressure situations.
  • Support Special Events staff in event preparation and execution.
  • Compose personalized correspondence to donors, prospects, Board members and various constituencies.
  • Manage calendars and schedule meetings and tours for VP of Development as needed.
  • Data Entry: Maintain and update donor database to capture all donations and cultivation activities.
  • Data Entry: Support Communications team in data entry where Communications strategies intersect with Research Department.
  • Other duties as assigned

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

  • Must have integrity and able to maintain high level of confidentiality.
  • Commitment to working in Community Mental Health, non-profit sector.
  • Excellent organizational skills and people skills; as it pertains to developing and maintaining relationships; strong team and collaborative demeanor.
  • Must be detail-oriented, extremely organized and punctual.
  • Positive, energetic, dynamic, charismatic and engaging personality.
  • Flexibility, as demonstrated by interchangeability with other staff, staying late or arriving early, as necessary.

REQUIRED AND PREFERRED EDUCATION, EXPERIENCE, AND CREDENTIALS

  • Undergraduate degree preferred.
  • Two years’ experience working in fundraising or in a nonprofit setting highly preferred.
  • Experience working with MS Office suite software, Adobe CS, and email marketing tools (Pardot, Mailchimp, BlueState Digital, etc.), Salesforce NPSP preferred.
  • Plan, prioritize, and organize work effectively to produce measurable results; keep current with and effectively apply new work methods, skills and technologies to complete work and support Development team.
