GENERAL SUMMARY

Relay Graduate School of Education (Relay) is positioned to bring about transformational change in teacher preparation, becoming the place where a new generation of continuously-improving, results-focused individuals can fulfill their destiny in the world’s greatest profession.

The Senior Manager of Office Operations at Relay will work tirelessly and “do what it takes” to ensure that the organization’s Home Office functions efficiently and effectively. The Senior Manager of Office Operations balances a number of daily, short-term, and long-term projects, and will have their manager, the Managing Director of Talent and other colleagues on the Talent team to use as a resource. The role requires a high level of interaction with internal constituents and external service providers. The Senior Manager of Office Operations is often the first point of contact for staff and visitors to Relay. For example, the Senior Manager of Office Operations is the primary point of contact for all employees regarding any questions about processes, equipment, and office space issues. The Senior Manager of Office Operations will occasionally need to work on weekends and early mornings or evenings to oversee certain office- and organization-related activities. As the Senior Manager of Office Operations gains exposure to the operations and academic program at Relay, she or he will be positioned for future leadership opportunities.

 ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Coordinate the day-to-day operations of the Home Office, ensuring that all shared office space and resources are available, organized, and usable
  • Collaborate with the Managing Director of Talent to ensure proactive, systematic operations
  • Independently plan, create and coordinate logistics and project plans for home office events including holiday parties, office desk moves, office management, ordering supplies and vendor management
  • Invest key stakeholders in office policies
  • Manage phones, mail, and office supplies, ensuring that calls, packages, and resources are properly routed in a timely fashion
  • Support finance and accounting functions by processing invoices, proactively managing relationships with vendors and managing asset inventory
  • Maintain a clean, organized, well-stocked office that inspires productivity
  • Oversee payments and track expenses with outside vendors and internal finance systems
  • Lead conversations and build relationships with the building staff
  • Manage the staff email inbox to ensure staff receive accurate and clear responses in a timely fashion
  • Greet all visitors, and help manage all external communications with vendors and other constituencies
  • Support for future office relocation processes and communications
  • Support Managing Director of Talent and other colleagues across the organization in preparing for staff events and meetings
  • Help create and maintain a positive organizational environment by following through on promises and directives, including meeting deadlines and communicating progress to others
  • Recruit, hire, and onboard Relay’s receptionist in summer 2019
  • Other duties and projects as required

 QUALIFICATIONS

  • Excellent attention to detail and accuracy
  • Excellent organization and project management skills, with the ability to manage and prioritize various projects and a sense of urgency in addressing issues that impact the entire organization
  • Strong operational mindset
  • Strong sense of customer service
  • Outstanding communication skills, both verbal and written
  • Willingness to work on tight timelines and pitch in when needed
  • A positive attitude, especially when dealing with various internal and external constituents and a variety of personalities
  • The ability to thrive in a fast-paced, entrepreneurial environment with flexibility
  • Acute attention to detail and a focus on efficiency and systems building
  • A high level of professionalism, self-confidence, decisiveness, and initiative
  • Familiarity with Microsoft Excel, Word, and PowerPoint preferred
  • Familiarity or willingness to learn building operations preferred
  • Previous management experience preferred
  • A Bachelor’s degree
  • A background or interest in serving the mission of RGSE
  • A high level of energy, positivity, optimism, and humor
