Friends of the Children –SF Bay Area is a nationally recognized, dynamic, non-profit mentoring organization serving children who face the biggest barriers in life. We are an independent member of a national network, founded in 1993 in Portland, Oregon, which now has 22 locations across the country. Friends of the Children has an independently verified track record of helping children break the generational cycle of poverty.

We hire full-time, salaried Mentors to walk beside each child from kindergarten through high school graduation – 12+ years, no matter what! We opened our doors in San Francisco in 2017 and, in less than four years, we have grown from 2 to 20 employees and we will soon be serving 120 children, with a goal of serving 500. 

We are seeking an individual to help our growing organization serve our children and families. A successful Program Operations Assistant is highly organized, flexible, reliable, with a positive outlook, strong communications skills and ability to work effectively with others as well as motivated by the opportunity to help children and families break the generational cycle of poverty. 

The Program Operations Assistant will report directly to our Director of Operations with dotted line reporting to our Director of Programs. This role provides administrative and logistical support to the Program Leadership Team, which includes our Director of Programs, Program Manager and two Team Leads. 

You will:

• Provide administrative support on key Program matters such as child selection and enrollment, annual recertification of Program participants; and management of school rosters;  

• Assist with food deliveries, donation collection, coordination and distribution, picking up supplies, planning events, holiday gift program, and other projects

• Maintain and organize program supplies and youth study and play areas 

• Interface with children, families, and outside parties such as in-kind donors and school partners;

• Maintain Program calendars and schedule both internal and external meetings; 

• Provide other support to Program Leadership Team as needed.

 

You will also support the Director of Operations in providing general office support. 

You will: 

 • Manage office supplies & inventory

• Order and set up meals at staff meetings, board meetings, and off-site meetings 

• Ensure common areas are kept clean and organized, this includes light vacuuming, running and emptying dishwasher, emptying trash, recycle and compost 

• Manage relationships with vendors

• Assist in onboarding new employees

• Help to create and maintain a professional, collegial workplace

 • Greet staff, children, office visitors and community members with a positive and professional demeanor

• Provide additional support to Management and Staff as needed 

In general, your work schedule will be Tuesday through Saturday, 9:00-5:00, with occasional evening work for fundraising events and child activities. 

Required Skills and Experience 

The ideal candidate will thrive in a fun, collegial work atmosphere, will welcome the dynamic challenges of a fast-growing organization, and will have: 

• A high school diploma or equivalent; Associate’s or Bachelor’s degree preferred

• Three or more years of relevant experience, preferably including office management

• Ability to work positively with staff members, children, families and outside parties from a variety of diverse backgrounds

• Outstanding organizational and time management skills

• Ability to plan and implement multiple projects concurrently, meet deadlines and follow up as required

• Strong written and verbal communication skills

• Positive, team-oriented attitude, as well as a sense of humor 

• Ability to take initiative, anticipate and resolve issues

• Ability to "manage up" 

• Ability to proactively assist team to ensure deadlines are met and details are followed through

• Excellent MS Office 365 skills including document management, Outlook Email & Calendar, Teams, Excel and Word required  

• Ability to produce professional quality correspondence and reports 

• Ability to lift items weighing up to 30 lbs. on a regular basis without assistance

• Work requires the following motions: bending, twisting, squatting and reaching

• Physical ability to perform tasks that may require prolonged standing, sitting, and carrying items

Salary:
