The Development Associate plays a central role in supporting all Development Office activities, particularly broad-based fundraising and membership. Key areas of responsibilities include Membership and Development Database Operations, prospect tracking, gift processing and working closely on special fundraising events. Assists with cultivation and stewardship of donors.

Position Responsibilities:

Membership and Development Operations:

Operations – Membership and Development Database System & Donor Records

  • Works with the development database (Raiser’s Edge), the Point of Sale (POS) database (Galaxy) and the internet communication and commerce software to maintain and update database
  • Synchronize membership data transfer between sales and donor database systems, ensure database accuracy by auditing and editing all data
  • Develops/improves donor database maintenance Inputs donor information (e.g. contact reports) into Raiser’s Edge
  • Assists head of Development in identifying prospective individual donors, scheduling cultivation meetings, and recording results and next steps

Gift Processing & Finance Liaison

  • Inputs development related gifts, event registration, and donor information
  • Facilitates credit card transactions and processes all pledges, cash, stock, intentions, in-kind, and invoices for the development division
  • Acts as a liaison with the Finance department, troubleshoots issues as they occur and leads the development of new systems and procedures ensuring smooth communication and procedural maintenance between both departments under the direction of the Senior Director and the Development Manager of Operations, Research and Programs


·       Coordinates the preparation of individual giving solicitations and communications as needed, and interacting with external mail houses and in-house design department

·       Oversees preparation of acknowledgement letters and pledge reminders in a timely manner, updating and personalizing letters as required

·       Develops reports as requested by Development department leadership

·       Helps plan and execute fundraising and membership events

Administrative Support & General Office:

·       Provide high level administrative support to the Vice President of Development and/or the Senior Director of Development including management of calendars, travel itineraries

·       Arranges internal and external meetings and room requests, organizes administrative files, writes correspondence

·       Assists with donor scheduling as needed including the tracking of donor communication and activities in Raiser’s Edge. Manages development budgets as needed, tracking expenses


·       Appreciation of the Museum’s mission and ability to be an effective spokesperson.

·       BA/BS

·       Minimum of a Bachelor’s degree and  2 years of experience in a fast paced office setting, preferably in fundraising or customer service

·       Software system administration and data management experience. Strong working knowledge of Microsoft Office applications required

·       Discretion with confidential information is essential. Able to follow information security protocols

·       Early adopter of technology and ability to learn new software quickly

·       Excellent attention to detail and accuracy, well organized, self-motivated

·       Ability to work quickly,  independently and be a creative problem solver

·       Good telephone, writing skills and follow-up skills

·       Prior special events fundraising experience a plus

·       Experience with Raiser’s Edge or other database software preferred

·       Familiarity and comfort with internet commerce and social media applications preferred
