Job Summary

The Office Manager is responsible for leading a variety of administrative and operation activities, which support the strategic goals and ensure the organizational effectiveness, efficiency, and smooth function of the Mystic River Watershed Association. The responsibilities include all aspects of office management, supporting finance and information system functions, coordinating HR processes, and leading office space management (approximately 50%), administrative support to the Executive Director and Board (30%), and supporting the public engagement efforts of the organizations including public engagement (20%).

About the Mystic River Watershed Association

The Mystic River Watershed Association (MyRWA) works to protect and restore the health of the 21-community watershed for the benefit of both people and the natural environment. Founded in 1972, MyRWA has grown to a staff of eleven and an annual budget of more than $2.5 million.  This is an exciting time to join a highly collaborative and dedicated team. As an organization committed to incorporating racial equity and justice throughout our programs and operations, we have embarked on a year-long training and strategic plan update to ensure that we are fully living into these values.

Essential Functions

This role will operationalize the mission, vision and values of MyRWA. Reporting to the Executive Director, the Office Manager is responsible for the day-to-day office operations, the performance of Finance, Human Resource and Information Systems administrative tasks, provide administrative support for the Executive Director as well as assist with external events to help engage community members in partnership with other MyRWA staff. The Office Manager is a leader who makes decisions within the scope of work assignments, prioritizes work independently and collaborates with other staff to provide services in support of MyRWA’s projects and programs. 

The Office Manager duties may include, but are not limited to:

●       Point of contact for organization - greet visitors, interact frequently with staff, members, visitors, service providers and donors, respond to inquiries, answer calls, check email traffic

●       Office management - manage mail, purchase office supplies and equipment, act as liaison with vendors and service providers, maintain office equipment, coordinate meeting space usage, provide meeting equipment set-up assistance, act as the point person for office insurance issues, and records retention management, manage landlord/tenant relationship and be the point of contact for lease issues; maintain common areas in safe, and orderly condition

●       Finance administrative tasks - cash receipting, petty cash management, preparing and sending accounts payable and receivables to outside bookkeeper, monitoring expenditures, and making bank deposits;

●       Human Resource administrative tasks - time report coordinator, post and complete initial screenings for new hires (with a focus on finding diverse candidates), implement new employee office orientation/on-boarding and work area set-up, assist staff with any updates related to health insurance, 401K or other benefits (coordination with outside vendor);

●       Information Systems (IS) administrative tasks - to manage licenses, and perform software, hardware and network trouble-shooting, maintain Gmail email systems and be responsible for following up on all technical/IT issues (including managing outside IT consultant) to ensure problems are resolved in a timely manner;

●       Administrative support for the Executive Director including correspondence, scheduling and meeting logistics, coordination of staff meetings and minutes, research and editing of policies and procedures, coordination of staff training and professional development;

●       Support of public engagement including 1) assistance for planning, implementation and participation of virtual and in-person external meetings, trainings, and volunteer events; 2) management of policies, waivers and photo releases, 3) Simple updates to website to ensure timely posting of calendar and events.

Responsibilities and Scope

●       Perform duties under general supervision and established guidelines;

●       Act as a leader making day-to-day decisions within the scope of work assignments and prioritizing work independently;

●       Work as part of a team for assigned projects and to identify solutions and solve problems; 

●       Demonstrate sensitivity in handling confidential information;

●       Does not supervise any staff, but may supervise volunteers, interns, contractors or vendors;

●       Willingness to travel (locally) and work evenings and weekends on a limited basis;

●       Willingness to work at external events, outdoors and indoors; and

●       Work environment may involve minor physical exertion such as moving of materials.

Minimum qualifications

●       Associate or Bachelor degree and 3 years of experience;

●       Strong verbal and written communication skills;

●       Experience using Microsoft Office programs and Windows operating environment;

●       Experience organizing time and managing diverse activities to meet deadlines;

●       Experience performing a variety of administrative and HR tasks;

●       Experience working and communicating with a wide range of people;

●       Ability to work independently to develop and execute priorities and also work together in a dynamic team environment;

●       Highly organized with strong attention to detail; and

●       Commitment to equity and justice.

Preferred qualifications

●       Knowledge of a second language relevant to our watershed (e.g., Spanish, Haitian Creole, Chinese, Vietnamese, Portuguese, French) is preferred but not required;

●       Multi-cultural or cross-cultural experiences appreciated;

●       Commitment to fostering a culture of diversity, equity and inclusion in the workplace; and

●       Experience in meeting facilitation, strong communication and presentation skills.

Compensation and Benefits

This is a full-time position with the Mystic River Watershed Association with a salary range of $50,000 to $60,000 dependent on experience and skills. Liberal paid time off policy (15 days paid vacation for year 1, up to 20 days in year 2, 12 paid holidays, and 6 sick days). Health insurance and immediate eligibility for participation in a 401k retirement plan with partial employer match.

Location

Our office is located in Arlington, Massachusetts, with some local travel throughout the watershed for this position. Typical hours are 9 am to 5 pm with some night and weekend events.
