The Account Traffic Coordinator, Direct Response is responsible for all the moving parts of a complex, multi-channel mass market program, and ensures the program’s success through managing those parts, keeping the program on track, and keeping things running behind the scenes. This position is involved in every aspect of the Direct Response program, from long-term planning to proofing final copy before it’s launched out to hundreds of thousands of donors. The Account Traffic Coordinator manages a $5M budget, daily deadlines, and 60+ annual campaigns.


DUTIES AND RESPONSIBILITIES:

Campaign Management

  • Managing project calendar and keeping everything on track
  • Lots of work with the agency’s account coordinator, managing both sides of the project together
  • Checking the details – verify production specs, photo releases, and links in email tests
  • Proofread all copies
  • Trafficking art and copy internally for program, communications, legal, and media approval for release
  • Maintaining current work-in-progress records and archives of past project information as appropriate
  • Tracks receipt and quality of seeds and print samples


Budget Management

  • Manage a $5M+ budget and have an incredible handle of every detail, from each project’s performance against budget, to how much we plan to be over in each category,
  • Process invoices, and make sure they are paid per the vendor’s requirements
  • Look out for cost-saving opportunities, and potential overages, and alerting Director of these
  • Work with internal Finance department to coordinate monthly spends, manage CAPS account
  • Recognizes financial terminology and understands what can have an impact on a project budget 


Administration

  • Organizing meetings
  • Participate in weekly status meetings
  • Manages inventory levels at lockbox
  • Regular review and/or updates of acknowledgment copy, art, and welcome packages
  • Collects and files competitive communication and samples
  • Stays current on industry trends, understands competitive space, and builds industry relationships 


Staff Management

  • Manages the Director’s priorities for project approval and decisions – pushes hard on deadlines, proactively anticipates questions that will need to be answered, and synthesizes information
  • Manages several external vendor relationships for day-to-day, including postal vendors, telemarketing, and lockboxes
  • Works with other departments on a daily basis to gather content, understand processes, and look out for DR’s interests in the greater organizational workflow
  • Ensures deadlines are met across teams


REQUIRED SKILLS:

  • 3+ years experience with mass marketing industry, standards, and practices across mail and digital channels
  • Knowledge of postage management
  • Experience managing an account budget
  • Higher-than-normal attention to detail
  • Proofreading/editing experience
  • Mid-Level+ Excel skills 
  • Highly organized with ability to deliver to a deadline
  • Analytical thinker and problem solver 
  • Must have unrestricted authorization to work in the United States.


PREFERRED SKILLS:

  • Nonprofit marketing experience
  • Nonprofit Database experience
  • Experience working with a list broker and list management preferred
  • Passion for our mission and a desire to work within the emergency response/global health sector
