The Office Manager at the American Academy of Audiology is responsible for providing front-line response to members and supporting efficient office operations. The ideal candidate will be friendly, professional, and customer-service oriented. By working closely with staff across departments, the candidate will develop a strong understanding of Academy activities to address a wide-range of questions and help to advance organizational priorities. This is a great opportunity to support an important mission and have an impact in a small association.

 What you'll get to do:

·      Provide front-desk coverage, including greeting visitors and maintaining reception area;

·      Handle all incoming calls and respond to inquiries;

·      Serve as administrator for the office phone/VOIP system and videoconferencing accounts;

·      Process membership renewals, including data entry in an AMS, and provide other member services;

·      Process mail, maintain a check log, and coordinate deliveries;

·      Manage office supplies and equipment maintenance;

·      Maintain staff resources and oversee new hire checklist;

·      Serve as office safety captain;

·      Coordinate logistics for onsite meetings and staff events, including catering arrangements;

·      Organize staff social activities and employee recognitions;

·      Maintain office common calendar;

·      Serve as point of contact for supply and equipment vendors, building management, and others; and

·      Support and assist other departments, as needed. This may include administrative assistance or leading special projects in support of Departments such as Membership, Certification, the Foundation, Communications, Advocacy, Meetings, and Education.


What you'll bring to the table:

  • Bachelor’s degree (preferred);
  • Prior experience in a similar role, preferably within an association environment;
  • Ability to work independently and in a team setting;
  • Proficient in Microsoft Office Suite and experience working with an AMS;
  • Excellent analytical and problem-solving skills, as well as written and oral communication skills;
  • Customer-service oriented and problem-solver;
  • Highly articulate with strong written and verbal communication skills; and
  • Well organized with ability to coordinate multiple projects, meet deadlines, and demonstrate an inherent commitment to service excellence
