Expect Miracles Foundation is currently seeking an Operations & Administration Coordinator to join its small, hardworking team to help advance its mission to improve the lives of people impacted by cancer. This person will be responsible for the accounting and administrative functions of the Foundation and its fundraising events, while also assisting the events team at onsite events.

Expect Miracles Foundation’s mission is to rally the financial services industry and beyond to invest in life-saving cancer research while advancing the financial and emotional health of people impacted by cancer. This position is perfect for someone who has experience working in an accounting, bookkeeping, and/or administrative role. Candidates must be professional, passionate, extremely detail-oriented, and have a strong character and willingness to learn within an organization with a small staff. Being a quick learner who is highly motivated and proactive is a must. Being comfortable with numbers and spreadsheets is required; accounting/finance experience is a bonus! Working in a team environment, this person will be responsible for the day-to-day financial activities of the Foundation and will report to the Executive Director.  

Responsibilities include:

  • Bookkeeping/accounting:
  • Managing Accounts Receivable / Accounts Payable in Quickbooks Online
  • Invoicing event sponsors
  • Processing checks
  • Sending receipts and recognition letters to donors
  • Maintaining the Foundation’s legal and regulatory requirements
  • Working with our CPA firm to complete annual tax and audit requirements 
  • Assisting events staff with planning and executing fundraising events, including:
  • Creating and managing event budgets
  • Coordinating with sponsors
  • Managing registration lists
  • Managing auctions
  • Managing event fundraising and following up on pledges
  • Providing general and administrative support to Expect Miracles Foundation staff, including:
  • Managing the organization’s business/office/operational needs, such as office supply ordering, event materials ordering
  • Maintaining records, including contact lists, in Salesforce database
  • Booking travel and accommodations

Requirements:

  • Demonstrated passion for our cause / interest in non-profit work
  • Proficiency in the basics of accounting
  • Confidence with spreadsheets
  • Excellent time management skills; comfortable juggling multiple projects and priorities
  • Positive attitude and quick learner
  • Terrific work ethic and a keen eye for detail 
  • Ability to work independently and take initiative while collaborating within a small team
  • Excellent customer service 
  • Aptitude for technology, including MS Office, Quickbooks, and Mac computer

Our office is conveniently located a block from South Station and is accessible by public transportation. We are currently working remotely. This position will be in our Boston office when we return.
