The Operations and Finance Manager deepens PAIR’s impact by identifying
opportunities for continual organizational improvements. This position
integrates best practices for non-profit management, including managing grant
compliance and organizational contracts, overseeing HR compliance and
documentation, ensuring timely and accurate financial reporting and ensuring
smooth office operations.
In Finance, the Operations and Finance Manager:
Receives and processes mail, including donations and
invoices to be paid.
Reviews monthly expense reports for accuracy.
Reviews monthly financial statements (produced by contract
accountant), providing oversight for quarterly budget reconciliation and
producing financial dashboards for the Executive Director and Board of
Supports reconciliation and filing of taxes, including the
Prepare and submit reimbursement invoices for government
contractors on a monthly basis.
Provides accurate donor data entry and monitoring of
donations/ cash flow.
In Administration, the Operations and Finance Manager:
Develop policies and procedures for all building functions,
including safety, security and loss prevention.
As the primary point of contact for PAIR’s Managed IT
contractor, the position is responsible for information technology and
telecommunications including systems; physical and cloud infrastructure, and
user hardware and software.
Act as primary liaison to payroll provider, benefits broker,
and employee benefits partners.
Maintain employee information within the payroll system
(timesheets, new hires, terminations, benefits changes, rate changes, etc.)
Post job opportunities and serve as liaison to hiring
manager; ensuring compliance and thorough documentation at all stages of
Enter and process biweekly payroll.
Identify opportunities for continuous improvement; cost
reduction, creating efficiencies and environmentally conscious solutions.
In Fundraising/ Donor Stewardship, the Operations and
Managing grants and organizational contracts, overseeing HR
and legal compliances and documentation, and ensuring smooth office operations.
Track monthly revenues and grants applications in Salesforce
Prepare donor acknowledgement letters, tax receipts, etc.
Strong alignment with PAIR’s mission and a
commitment to work in a culturally responsive, diverse community
Bachelors’ degree in non-profit administration,
accounting, HR or related field from an accredited university
Minimum of 3 years of experience serving
non-profits in a similar capacity
Solution and systems-oriented thinker with the
ability to manage multiple projects in a timely fashion
Ability to work in a multi-disciplinary team
Ability to pass a background check
Schedule: This position will have a standing schedule of 15-20 hours/ weekly during PAIR’s
operating hours of Monday-Friday, 8 am – 6 pm, to be negotiated based on the
selected candidate’s availability.
This position requires a minimum of one day/ week in office;
and will resume to in-person on a regular basis once all PAIR staff resume
daily office hours.
