About the Role

Storm King Art Center is seeking an External Affairs Operations Manager to join its growing External Affairs department. This new position will report to the Deputy Director, External Affairs, and will execute and maintain the development systems implementation, data management policies, gift entry, solicitations, acknowledgements, and stewardship process. The Manager will oversee an External Affairs Operations Associate, who will support these efforts. 

The Operations Manager will advocate for and make certain that systems are in place to take care of existing and new constituents, and that data integrity is assured. As an experienced systems thinker, this new Manager will be an effective communicator and liaison to support the External Affairs department’s efforts as it relates to other departments (including Finance, Visitor Services, and others). S/he will lead and/or participate in various working groups focusing on External Affairs high priority campaign and strategic initiatives, demonstrating the ability to work as a key contributor and collegial partner. 

Partnering with External Affairs senior leadership, the Manager will participate in the creation, development, and communication of External Affairs annual and strategic plans, ensuring that measurable goals and objectives are achieved for External Affairs. In addition, s/he will establish and monitor External Affairs metrics. S/he will be responsible for reconciling reports and figures with the Finance department.


• Design, implement, and manage development operations, research, stewardship, solicitation, acknowledgments, gift and finance administration, prospect development, database administration (Altru) as it relates to External Affairs, budgeting and administrative support.

• Ensure effective management of development operations, specific to the fundraising database, donor communications, and stewardship, including accurate management, maintenance and reporting of all financial and biographical transactions.

• Help oversee/coordinate relationship management and prospect development efforts including oversight of stewardship activities and prospect development with an emphasis on supporting relationship development via data analysis and donor-centrism. 

• Analyze data and strategically segment lists for external marketing and communication efforts.

• Understands and anticipates the needs for fundraising, Membership, special events, communications, marketing, and Finance in terms of research, tracking, and reporting.

The new Manager will be a seasoned and confident operations leader, responsible for contributing strategies and direction across all aspects of relationship management, data entry, and gift processing. Successful candidates will possess a strong working knowledge of best practices achieved through having worked in a similar capacity at other organizations.

Required Qualifications and Skills

• Exceptional supervisory and program management skills along with the ability to lead during change and achieve excellence

• At least 3-5 years of development operations or advancement services experience in several best practices organizations, with specific experience in operations, data management, and administration

• Comprehensive understanding of the overall responsibilities for advancement along with the knowledge of data, technology, reporting and program services to support it 

• Ability to be both strategic and detail-oriented

• Demonstrated knowledge and experience using automated business and systems tools for Advancement operations

• Ability to design and work with systems to create and analyze data

• Experience developing, documenting and maintaining policies and procedures

• Strong computing skills (MS Office)

• Knowledge of Altru, Raiser’s Edge or other Blackbaud products required 

• Knowledge of third party reporting software such as Tableau or Crystal Reports a plus

• Superb written and verbal skills

• Flexibility and adaptability

• Successful candidates will have enthusiasm for Storm King’s programming and mission, complemented by a background in development operations. Experience in arts or cultural institutions preferred.

• Ability to work occasional nights and weekends.

• Requires standing, lifting, stooping, or bending

• Works on weekends and evenings during the season for special events

• Ability to travel locally and to NYC is required
