·        ·        Reports to and supports the Director of Communications and Events & Business Development Director, assist in the communications, outreach, organizing, planning, and execution of all events including marquee events & summits, in addition to several smaller committee or board meetings/workshops

o  Board Meetings/Retreat

o  Sustainability Summit & VIP Reception

o  Architectural Awards Committee Meetings

o  Architectural Awards Jury Deliberation Meeting

o  Architectural Awards Winner Exhibition & Luncheon

o  Mayoral Housing Transportation & Jobs Summit and VIP Reception

o  Member’s Only Events

·        Communications

o  Working with Communications Director in the production of marketing pieces (Save the Date, invitation & program guides, promotional and event videos) and social media and ad campaigns

§ Including working with graphic designers, committee members, and speakers in compiling appropriate information such as logos, ads, biographies, winning project images, project details/team member titles

§ Video- shooting schedule, filming/conducting interviews, b-roll, event footage, and editing

§ Developing social media campaigns and toolkits

§ Design and purchase ads for organization

·        Administrative/ Meetings/ Institute

o  Assist in database creation for every event including contact information, attendance, current and prospective sponsors, status of required event materials etc.

o  Guest list registration/Registration Desk

o  Notification of important meeting details to committee members

o  Electronic coalition updates/blasts to coalition members

o  Assist in the coordinating meetings schedules & catering requirements

·        Sponsor Organizations

o  Sponsor organizations outreach, correspondence, and point of contact up to the event

o  Assist in drafting request letters/speaker invitation letters

o  Assist in compiling and organizing sponsor marketing benefits & guest lists – logos/ads for event signage & program guides

·        Events

o  Call for Entry applicant & system assistance/management

o  Jury Deliberation Meeting, project applicant books, ballots

o  Speaker roster creation with call times and emergency contact info

·        Ability to multi-task & provide general support to all office functions and tasks as needed
