    Operations & Outreach Coordinator (Part-Time)

    Hours: 20 hours per week

    Compensation: $27 per hour

    Position Summary

    NorthStar Church of the Arts seeks a dedicated and detail-oriented Operations & Outreach Coordinator to manage day-to-day operations, ensure smooth execution of events, and strengthen community relationships. Reporting to the Executive Director, this role is essential to advancing NorthStar’s mission by balancing administrative excellence with meaningful engagement.

    As part of a capacity-building project, this grant-funded, part-time contract position (January 2025–June 2026) will strengthen NorthStar’s internal systems and support strategies to increase arts participation in underserved communities. Primarily remote, this role will require occasional in-person attendance at events and meetings.

    Key Responsibilities

    Operations Management

    • Oversee NorthStar’s facilities to ensure the space is functional, accessible, and well-maintained.
    • Manage event logistics, including scheduling, contracts, vendor coordination, and equipment needs.
    • Track expenses, process payments, and maintain accurate financial records.
    • Collaborate with the Executive Director to develop and update standard operating procedures and operational handbooks.

    Community Engagement

    • Plan and coordinate events such as open houses and community gatherings to deepen connections within the Durham community.
    • Administer and deploy a community arts survey to gather feedback and assess organizational impact.
    • Serve as a liaison for community partners, cultivating clear communication and strong relationships.
    • Support strategies to engage underrepresented artists and audiences.

    Administrative Support

    • Maintain a master calendar of events, rentals, and programs for efficient space utilization.
    • Coordinate with tech staff and artists to ensure seamless program delivery.
    • Provide administrative support for board activities, including scheduling meetings and preparing materials.

    Reporting & Evaluation

    • Track and analyze operational metrics to identify areas for improvement.
    • Assist with data collection and grant reporting.
    • Summarize community survey results and provide actionable recommendations.

    Qualifications

    • Minimum 2 years of experience in administration, operations, or a related field.
    • Strong organizational and time-management skills with high attention to detail.
    • Passion for the arts, social justice, and community-centered work.
    • Excellent verbal and written communication skills.
    • Ability to work independently and adapt to evolving priorities in a dynamic environment.
    • Willingness to attend select in-person events and meetings.
    • Basic understanding of research processes is a plus.
    • Proficiency with Microsoft Office Suite, Google Workspace, and familiarity with CRM systems (DonorPerfect experience is a plus).
