St. Nicks Alliance seeks a successful candidate will provide in person program coordination and direct services for the Adult Education Department and providing administrative services to program participants. Help to collect, analyze and apply data to our daily operations to both to increase student satisfaction and retention.

The Adult Education Program Coordinator is primarily responsible for supervising the Student Support Specialist/Case Management Team that provides the tools and resources needed to help individuals achieve educational (ESOL, HSE, and ABE) goals and opportunity for financial stability. The Adult Education Program Coordinator plays a critical role in ensuring that contractual goals are met by supporting the Deputy Director of Adult Ed and conducting outreach, overseeing entries into DYCD Connect, ASISTS, and St. Nicks ETO database which are used to help track and monitor the progress of clients enrolled into programs. 

Candidate must be able to report to the office Full-Time 5-days a week to support Adult Education In-Person and Remote Learning. 

Duties Include:

·        Coordinate and Support all Adult Ed programming including DYCD and NYSED contracts.   

·        Supervise all 3 Adult Ed Student Support Specialists/Case Managers and the PT Data Intake/Evening Receptionist from DYCD and NYSED contracts. 

·        Support the Deputy Director, Adult Education with communication and supervision support for all 7 NYSED ESOL instructors.

·        Provide support as needed to DOE OACE administrators, instructors, and paraprofessionals.  

·        Ensure that the program is on track to serve 560 HSE, ABE, and ESOL students annually.

·        Drive Outreach Strategy for Recruitment, Enrollment, Class Placement, and Program Retention to support 560 students during the course of the school year.  

·        Target recruitment efforts on students wanting in person learning and those students who stopped adult education classes during the pandemic who favor in person over online learning. 

·        Drive program retention efforts and support student transition back to in person learning. 

·        Develop and maintain relationships with community organizations to better reach recruitment, registration and enrollment goals. 

·        Manage a Case Load of 80 ESOL student on the NYSED contract.

·        Ensure Case Management staff are providing Transformational Coaching and program retention support. 

 

·        Build excellent student rapport.

·        Provide support and data analysis for all Adult Education programming and inform Deputy Director of Adult Education of any discrepancies. 

·        Ensure ETO, ASIST, HRA and other in-house database systems are updated on a weekly basis. 

·        Ensure all potential students complete general intake on their first visit and are entered in the St. Nicks Alliance ETO database. 

·        Assist and Support Deputy Director of Adult Education with general program operations.

·        Provide administrative support for the department, including daily database entry in multiple systems, preparation of records and reports; maintenance of hard copy and electric filing.

·        Oversee and ensure that participant’s folders are complete; including copies of identification, documents and case notes.

·        Administer one on one-assessment interviews for each new participant on case load, assessing participants education and work history, need for support services, career preferences and barriers to meeting education outcome.  

·        Support the Deputy Director Adult Education with funding reports and program audits. 

·        Coordinate small group counseling workshops at least once every 3 months.

·        Facilitate class placements for ESOL.

·        Assist Deputy Director in monthly dashboard reports.

·        Collaborate with City agencies, Funders, and Community Partners to complete required documents and provide required program signatures.  

·        Organize, monitor and conduct Post-testing for all ESOL classes.   

·        Pull-reports for all NYSED data based systems and monitor upkeep.

·        Maintain good organizational and time management skills in order to ensure completion      of all tasks.

·        Interact with funders as needed; assist with site visits.

·        Timely record keeping and quality assurance for compliance with the requirements of various funding sources. 

·        Attend weekly supervision meetings with the Deputy Director of Adult Education.

·        Perform other duties as assigned.

·        Participate in program meetings and DYCD and RAEN training/professional development.

·        Be available to work two evenings per week and occasional Saturdays.


Qualifications:

·        Bachelor’s degree preferred. 3 years and related field experience in a social service organization preferred.       

·        Must be bilingual (Spanish, English)

·        Experience working with Adult Education/ESOL programming strongly preferred.

·        Two plus years’ supervisory experience strongly preferred. 

·        Excellent organizational and interpersonal skills

·        Strong communication, writing and computer skills.

·        Knowledge of community resources and counseling with high risk populations.

·        Ability to motivate others towards achieving goals.

·        Excellent computer skills, with the knowledge of excel spreadsheets, Zoom, Google Classroom, ASIST, DYCD Connect and ETO.

·        Ability to work both independently and as a team with an equal amount of focus and enthusiasm.

·        Familiarity with BEST Plus 2.0 and TABE preferred.

·        Strong sense of and respect for confidentiality involving both clients and fellow employees.

·        Ability to work with culturally-diverse individuals, bringing a non-judgmental approach to counseling and casework whole maintaining a clear sense of boundaries.

·        Ability to Work in Person in the Office 5 days a week. Also availability to work 2 evenings a week and occasional Saturday as needed.
