ACCESS REPRODUCTIVE JUSTICE is looking for an Operations and Administrative Coordinator to support the organization’s operational functions, including project management, human resources, finance, and administration. Reporting Relationships

The Operations and Administrative Coordinator will work closely and collaboratively with all members of the staff, including the Executive Director and Board, as well as our financial management consultant. Position will be supervised by the Executive Director.

What You’ll Do and What Success Will Look Like

  • General Administrative and Operations Support:
  • Proactively create and improve operational processes to maximize the productivity of the organization, including creating, organizing, and maintaining clear, accurate and accessible operational documents and procedures
  • Maintain a history of communications to include memos, newsletters, meeting minutes and other office documents in the cloud-based storage system
  • Oversee office operations and procedures, manage correspondence, and maintain filing systems
  • Sort and distribute incoming mail and prepare outgoing mail
  • Financial Support:
  • Support Executive Director in budgeting related tasks designed to help the organization optimize costs and benefits, including:
  • developing and updating budget and financial spreadsheets
  • submitting expense reports 
  • processing receipts
  • Communicate with financial consultant(s) regarding Accounts Payable and Receivable, tax filings, annual 1099 creation and submission, and other related duties
  • Assist Executive Director in executing and updating contracts and agreements with vendors, partners, volunteers, and other stakeholders
  • Team Culture and Human Resources Support:
  • Assist Executive Director with payroll, maintenance of employee benefits programs, and budget preparation
  • Develop, implement and support hiring and onboarding processes, including communications and coordination
  • Support Executive Director in executing an annual staff evaluation process
  • Maintain historical Human Resource records via electronic filing system, including archiving files
  • Support development of team trainings for professional development
  • Support board meeting and committee preparations as needed
  • Technology Support:
  • Maintain documentation on core organizational technologies and provide training and support to staff as needed
  • Manage vendor relationships, pertaining to technology, and streamline processes for technologies used across the organization
  • Create, implement, and enforce technology policies
  • Fundraising & Donor Maintenance:
  • Maintain donation and grant records in Classy Fundraising Platform and Salesforce
  • Coordinate donor acknowledgements and stewardship
  • Support staff and board in coordinating and executing year-end mailing campaign and support additional funding campaigns as needed
  • Participate in annual fundraising events with Staff and Board
  • Maintain Salesforce database of all ACCESS contacts, donors, and stakeholders and support improvements to database as needed

What We Are Looking For

  • You have exceptional judgement and the ability to handle confidential information with a high level of discretion and professionalism;
  • Belief in, commitment to, and understanding of the reproductive justice framework, and familiarity and comfort with sexual and reproductive health issues, particularly abortion;
  • Commitment to working in a POC-led, community-based, non-profit organization, and invested in fostering a trauma-informed model of community care within ACCESS;
  • Excellent writing and speaking skills for a variety of audiences;
  • A highly organized and detail-oriented individual with excellent time management skills and the ability to multitask and prioritize work;
  • Knowledge of basic bookkeeping principles and office management systems and procedures;
  • Proactivity--a self motivated, resourceful, creative individual who is able to work without significant day-to- day supervision;
  • Excellent computer skills, including proficiency in Salesforce, Quickbooks and MS Office, with the capability to quickly learn new software applications and technologies;
  • Strong interpersonal skills and ability to create positive, long-term working relationships; demonstrates tact, dependability, diplomacy and flexibility;

Bonus Qualifications:

  • Bilingual in English and Spanish;
  • Previous work, volunteer, or lived experience in the areas of administration and operations, reproductive justice or non-profits preferred;
  • Experience with ACCESS’ programs, as a Board member, volunteer, intern, or caller. 

Hours and Location: 

​This position is full time and remote for the remainder of the COVID-19 pandemic. Future in-person responsibilities would be based in Alameda County area office, with the possibility of some flextime/remote-work options. Occasional national travel required. Flexibility to work some nights or weekends required.

Compensation:

ACCESS is committed to pay transparency. In 2018, our board and staff co-created a pay structure that includes professional experience, as well as lived experience that grounds staff in reproductive justice values. This pay scale can be provided to interested applicants upon request. The Operations and Administrative Coordinator is an exempt, full-time position with a salary range of $55,000 and $70,555 based on the salary review process with applicant, which would be completed prior to official hire. ACCESS offers a generous benefits package including health, vision, and dental insurance with no share-of-cost, 12-15 days of paid vacation, paid sick/wellness time, family and medical leave, 5 days of winter holiday pay, and opportunities for professional development and growth.
