Development & Communications Coordinator

Bloedel Reserve is seeking a Development & Communications Coordinator who will be an exceptional addition to our Development & Communications team.  The Development & Communications Coordinator (DCC) maximizes the efficiency and effectiveness of Bloedel Reserve’s fundraising operations. The DCC is responsible for administering the Development & Communications department’s systems, policies, procedures, and timelines necessary for operational success. Works closely with members of the Executive, Finance, Operations teams, and select contractors. 

Bloedel Reserve is a mix of 150 acres of curated gardens, forests, structural features, and distinct landscapes. The Reserve is on Bainbridge Island, just a short ferry ride from downtown Seattle.  We share the wonders of nature with visitors from both around the world and close to home, through unguided walks and targeted programs to support a connection with nature, horticulture and the environment.

ESSENTIAL DUTIES

         Administrative Support

1. Coordinates, monitors, and troubleshoots Development & Communications work plans, calendars, and deadlines—from event advertising and annual appeals to monthly e-newsletters and website updates
2. Produces acknowledgement letters for CEO and Director of Development & Communications (DoDC) review and approval; updates and facilitates accurate records for mailings and correspondence
3. Supports the Development Committee with strong interpersonal skills and meticulous follow through; organizes Development & Communications meetings
4. Develops and maintains efficient, secure electronic file management systems and safeguards highly sensitive information
5. Helps track production timelines and proofreads advertisements and promotional collateral (print and online) for Communications Manager.
6. Tracks social media and website platform analytics and produces monthly data visualizations for Dashboard and Board Reports
7. Assists with developing and organizing branding and messaging templates
8. Assists with vendor fulfillment and vendor relationships
9. Schedules meetings and appointments, assists in completion of purchasing requisitions, invoices, and expense reports, as needed, for DoDC; 
10. Provides accurate and timely reporting in expense management systems (e.g. Certify)

         Operations & Systems

1. Supports DoDC and Development team in tracking progress against multiple fundraising goals; Produces timely, accurate reports and dashboards for leadership
2. Coordinates with Development team on timely recordkeeping in Altru CRM, tracking interactions, and capturing constituent and donation documentation.  Collaborates with Finance for accurate and tracking and reporting of all pledges, gifts, grants, sponsorships, and memberships.
3. Produces daily gift reports, runs custom queries, and analyzes data for Communications projects and Development initiatives 
4. Prepares timely, accurate, courteous, and brand-aligned acknowledgements for pledges, gifts, grants, and sponsorships, using accurate and efficient systems 
5. Pursues ongoing professional development opportunities to improve departmental systems, policies, and procedures (e.g.  American Public Gardens Association and Blackbaud University) 

         External Relations & Outreach

1. Maintains lists of donor prospects, assignments, and solicitation plans to support a team approach to strategic fundraising
2. Works with Operations for all Development & Communications event planning, production, and logistics, including a large-scale annual fundraising event each summer.  Duties include handling RSVP’s, registration, and communications with attendees before, during, and after events 
3. Fulfills auction donation requests from local nonprofits for their fundraising efforts
