    TINTA, The Invisible Thread, is a global facilitation platform dedicated to empowering Indigenous Peoples and local communities (IPs and LCs) to protect ecosystems and respond to climate change. We focus on fostering collaboration, learning, and advocacy through territorial exchanges, workshops, and capacity-building programs. As TINTA starts planning for events such as COP30 in Brazil, we are seeking a Travel and Logistics Officer who can ensure seamless logistical support for our team and partners worldwide.

    Position Overview:

    The Travel and Logistics Officer will oversee and coordinate travel, accommodation, and logistics for TINTA’s global operations. This role is pivotal in ensuring that our team members and partners can attend key events, meetings, and exchanges efficiently, safely, and sustainably. The ideal candidate will be highly organised, detail-oriented, and skilled at managing complex travel arrangements while aligning with TINTA’s mission of supporting Indigenous peoples and local communities.

    Key Responsibilities:

    • Travel Coordination: Plan and arrange international and domestic travel for TINTA team members, Indigenous and local community delegates and partners, and other stakeholders attending conferences, workshops, and events. This includes booking flights, visa processes, accommodation for individual and group travel/events, ground transportation, and any necessary travel documentation.
    • Logistics Management: Provide logistical support for TINTA events ensuring that all materials, equipment, and facilities are prepared and ready for use.
    • Itinerary Management: Develop and communicate detailed itineraries for participants, ensuring they have all necessary information, including travel, lodging, and event schedules.
    • Vendor Relations: Build and maintain relationships with travel and accommodation providers, negotiating rates and ensuring quality service while upholding TINTA’s values of sustainability and respect for local customs.
    • Compliance and Safety: Ensure all travel arrangements meet visa, health, and safety requirements for international and domestic travel, coordinating risk assessments as needed.
    • Budget Management: Track and report on travel and logistics expenses, optimising resources to stay within budget constraints.
    • Cultural Sensitivity: Ensure that all logistics arrangements align with TINTA’s values of cultural respect and inclusivity, especially when working with Indigenous peoples and local communities.

    Qualifications:

    • Proven experience in travel reservation and planning, logistics, or event coordination, ideally within a nonprofit or international setting.
    • Strong organisational and multitasking abilities with an eye for detail.
    • Excellent communication skills, able to coordinate effectively across time zones and diverse teams.
    • Knowledge of travel requirements such as flights, travel and medical insurance, visas, health regulations, and international policies.
    • Demonstrated commitment to cultural sensitivity and understanding of working with Indigenous peoples and local communities.
    • Proficiency in online travel booking platforms; familiarity with project management tools is a plus.
    • Flexibility and ability to work under tight deadlines and adapt to changing circumstances.

    Requirements:

    • Travel, tourism and events management professional degree
    • At least 5 years of experience in travel management, previous experience in the nonprofit or environmental sector is a plus.
    • Familiarity with sustainable travel practices and an understanding of the challenges and barriers facing Indigenous peoples and local communities in travel contexts.
    • Language proficiency in Spanish and English is essential. Portuguese, French or other languages relevant to TINTA’s work is a plus.

    Reports to: Language Support and Logistics Manager

    Working Hours: estimated 5 days / week (35 hours / week). For this position it is essential to offer maximum flexibility in terms of working hours: the consultant must be available at all times during organised events. (TINTA operates on a global scale, so some events may fall within different time zones to the consultant’s location).

    Type of contract: 3 months consultancy contract renewable up to 1 year or more, depending on funding. For candidates with the right to work in France, a CDD is also possible.

    Fee range: Professional fees in TINTA depend on internal pay policies including equity considerations and budget. The consultancy fee range for this position for someone based in the Global South region is between 28,560 and 38,640 Euros/year and for someone based in the Global North is between 42,840 - 57,960 Euros/year (all taxes included).
