Position Type: To provided administrative support to church staff and Pastor


Purpose: Church Administrator (20-25 Hour(s) a week)


Essentials Functions:

Responsibilities and Duties:

Primary Tasks-

·      Perform general office duties including but not limited to coping, data entry, word processing and filing both electronically and hard copy.

o   Maintain cleanliness, order and organization in all of the office spaces.

·      Provide administrative assistance to the pastor:

o   including organization and filing

o   expense reports

o   scheduling and travel arrangement support

o   Conserve pastor’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.

o   Coordinate with the pastor on members who require special care or visitation.

·      Provide information to congregational members and the public by answering the phone and email inquiries.

·      Maintain a good working relationship with all co-workers and community groups who use Southside facilities;

o   Maintain schedule of all Southside events on and off campus and all meetings at Southside.

o   Be the point of contact for both the church and community groups who use the Southside facility (scheduling, handing out keys, making sure facilities are being cared for, and communicating problems.

·      Refer facility/grounds problems to Facilities and Maintenance Elder.

·      Produce weekly bulletin including a large print version.

·      Communicate weekly and monthly event setup calendar to custodian staff.

·      Supervise the church custodian.

·      Be point of contact for outside vendors.

·      Sort mail and distribute.

·      Maintain key inventory.

·      Troubleshoot office equipment issues.

·      Oversee the purchase and maintenance of office equipment and supplies.

·      Coordinate volunteer clerical support team.

·      Maintain website,

·      Produce monthly newsletter

·      Maintain database with contact information of current members and friends of Southside.

·      Maintain the Southside Facebook account (and other social media as necessary)



·      Four years of high school or equivalent

·      Three years of secretarial, administrative support, or an equivalent combination of education and experience

·      Must have the ability to maintain, support and handle confidential information

·      Strong customer service experience

·      Proficient in Microsoft Office application including word, excel, and publisher

·      Have basic hardware setup and maintenance

·      Knowledge of modern office methods, procedures, and web development

·      Able to take initiative, function independently, and exercise good judgement.  Possess excellent interpersonal and communication skills (orally and written).   Has the ability to maintain a positive attitude, be flexibility.

·      Bilingual (English/Spanish) preferred but not required.


Salary: Hourly ($15.00 - $18.00)

Notwithstanding any other provision of this Contract, the signer agrees that he/she is an “at-will” employee.  This means that employment with the Southside Presbyterian Church District may be terminated by either the church or the employee at any time for any reason or no reason, with or without prior notice.
