Part-time Finance & Operations Assistant

The Ecology Center seeks a motivated part-time Finance and Operations Assistant (FOA) to assist with the Ecology Center’s accounts payable, benefits, office management, and development functions. The core duties include accounts payable tracking and entry, Excel spread sheet tracking, benefits administration support, and office management and development database support. This position reports to the Finance Director. This is a part time temporary staff position located at the Ecology Center’s main office in Ann Arbor, MI. It will be between 12-20 hours/week depending on the skills, experience, and availability of the person hired. There is potential for it to become a permanent staff position in the future. It is an entry level position ideal for someone looking for an opportunity to learn about behind the scenes nonprofit administration and management and increase office and data entry skills and knowledge.

 

Organization

Founded in 1970, the Ecology Center works to develop innovative solutions for healthy people and a healthy planet. In recent years, the Ecology Center developed the country’s leading product testing service for toxic chemicals; created a statewide Health Leaders Fellowship program; and led successful advocacy campaigns to expand transit service in southeast Michigan. The Ecology Center is the parent organization of Recycle Ann Arbor, founded in 1977, which works to build zero waste communities through convenient and innovative services. The Ecology Center has offices in Ann Arbor and Detroit.

 

Duties and Responsibilities

The position requires excellent attention to detail and a service oriented approach to tasks. The FOA must be organized, responsive, with good time management skills. Candidates should also be comfortable with numbers, data entry, and people, and enjoy detail oriented work in a fast-paced nonprofit environment. The ideal candidate will be comfortable working independently, as well as with teams.

 

·       Process purchase orders, invoices, and staff reimbursements and enter them into the accounting system using Abila MIP accounting database software.

·       Monitor work-study student employee hours and timesheets and invoice universities on a timely basis for reimbursement and assist with work-study hiring tasks.

·       Use Excel to assist finance staff as needed in maintaining and updating spread sheets used to track benefits, finance, and personnel functions

·       Employee insurance tracking and accounting system invoice entry (Health, Dental, etc.)

·       Assist with HR benefits processing.

·       Order office supplies for local Ann Arbor and Detroit offices and manage distribution and tracking of office keys, bus passes, etc.

·       Manage vendors for office equipment, phone, and cleaning and help trouble shoot when necessary to keep services functioning smoothly.

·       Assist with tracking, maintenance, and oversight of computers and other office equipment.

·       Assist development staff with development database data entry and maintenance if hours worked per week allows.

Reports to: The Finance Director

 

Minimum Qualifications

·       Proficiency in MS Office software especially Excel and Word.

·       Ability to quickly learn and work efficiently in accounting and other databases; Specifically Abila/MIP Accounting software. Knowledge of Salesforce CRM is a plus.

·       Strong attention to detail, willingness and ability to learn new skills and take on new projects.

·       Ability to work both independently and well with a team.

·       Comfortable in providing administrative and accounting support with excellent attention to detail.

·       Ability to manage confidential staff and donor information appropriately and professionally.

·       Experience working in diverse organizations, coalitions, alliances, and nonprofits.

·       Interest in/passion for environmental and public health issues a plus.
