Staff and Payroll Accountant

John F. Kennedy Library Foundation


Reporting to the Chief Financial Officer, the Staff & Payroll Accountant will perform critical tasks for the Accounting Department. The individual will work independently and collaboratively to meet competing deadlines and assist with a variety of projects. This role is deadline-driven and requires the ability to be proactive, multitask, and shift priorities in a fast-paced environment.


Tasks and responsibilities include but are not limited to:

 

HR & Benefits Assistance

•        Manage biweekly processing of payroll and keep current with employment laws

•        Prepare human resource communication to employees

•        Serve as a key liaison with health insurance agents and benefits vendors, including renewal management

•        Assist with preparation of reports for compensation and benefit matters

•        Assist with management of consultants and temporary employees


Accounts Payable & Invoice Management

•        Manage Accounts Payable process, including maintaining vendor records, processing invoices, verifying all disbursements have been properly authorized and correctly coded, and process payments in a timely fashion

•        Manage expense reimbursements, including an online tracking system

•        Manage the transition to a paperless process for accounts payable and expense reimbursements

•        Prepare journal entries and post to the general ledger


Account & Budget Maintenance

•        Manage all cash, checks, and credit card advances and maintain daily cash availability schedule

•        Assist with monthly financial closing and annual budget processes

•        Prepare account reconciliations

•        Assist with year-end audit preparation


Other Duties

•        Assist with grant reporting

•        Assist with management of intern program

•        Perform data entry and clerical tasks for the Accounting Department

•        Participate as a team member in Foundation events and programs

•        Complete special projects as requested by the CFO

 

Qualifications:

  • Bachelor’s degree in Accounting, with significant experience with month-end financial closing
  • Minimum 5 years’ experience with payroll, benefits management, accounts payable, and cash receipts
  • Experience in a not-for-profit environment
  • Experience transitioning to or participating in a paperless work environment


Skills Required:

  • Proficiency with Microsoft Office, ADP WorkforceNow, Concur and accounting software including Blackbaud
  • Excellent organizational, analytical, and communication skills
  • Proven ability to communicate both verbally and in writing in a timely, reliable, accurate and professional manner
