Clinical Services Coordinator - Optometry

Fenway Health’s Optometry Department is seeking a Clinical Services Coordinator who is team-oriented and looking to work in a mission-driven, diverse, non-profit healthcare setting. The Clinical Services Coordinator is responsible for coordinating care for patients in collaboration with the Optometrists and assisting in tasks essential to day-to-day clinical operations. They are also responsible for the full range of Patient Services tasks as needed. This is a highly visible position with extensive patient contact, via phone, email, and in person. The Clinical Services Coordinator is supervised by the Office Manager and works closely with the Optometrists.

Responsibilities:

  • Coordinating referrals to external providers
  • Ordering retail and trial contact lenses
  • Verifying contact lens prescriptions for external vendors; approving or denying orders based on lens parameters and expiration date
  • Inventory and stocking of contact lens trials; disposal and reordering of expired materials
  • Working with and scheduling appointments with contact lens and other industry representatives
  • Coordinating and executing patient recall and outreach efforts using various technologies
  • Scanning of paperwork into patient files
  • Providing excellent customer service
  • Logging information on phone calls received and maintaining detailed and accurate records
  • Performing registration processes for new and established patients
  • Maintaining patient confidentiality
  • Performing reception duties in an efficient, professional, and courteous manner
  • Verifying existing patient demographic data and insurance information
  • Scheduling appointments according to established procedures, patient needs, and provider availability
  • Collecting and recording patient payments; verifying transactions at end of day and reporting discrepancies
  • Serving as a back-up for insurance verification as needed
  • Attending meetings and participating in interviews as requested
  • Other tasks as assigned

Requirements:

  • Minimum of high school graduate or equivalent
  • Minimum of 2 years’ office experience
  • Previous experience in a clinical setting
  • Excellent computer skills
  • Excellent customer service, documentation, and organizational skills
  • Bilingual English/Spanish a plus
  • Willingness to work with a diverse patient population
  • Experience working in an ethnically, culturally, and racially diverse environment preferred
