The Financial Services Accounting & Bookkeeper will oversee bookkeeping, accounting and financial reporting and will serve as lead staff liaison to the audit firm during preparation of annual audit and tax filing for Philanthropy Massachusetts. This part-time position will report to the Chief Executive Officer and will work closely with all other staff. Flexible work schedule may include a combination of on-site and remote work as an option.


Accounting & Bookkeeping

• Perform all accounting functions including processing AP/AR, deposits, and invoicing

• Code, enter, and post transactions in automated accounting system, including reconciliation of check and PayPal receipts

• Prepare receipt journal for deposit and update corresponding spreadsheets

• Post and print checks; coordinate check signing and distribution process

• Enter, monitor and update salary, benefits, and other percentage allocation spreads into accounting system;

• Record quarterly administrative fees

• Process receipts, disbursements, interest posting and other journal entries for

• Operating account

• Payroll accounts (taxes, withholding, retirement, insurance)

• Special projects accounts (including fiscal sponsor relationships)

Budgeting and Reporting

• Post and generate monthly general ledger, accounts payable and other transaction journals

• Prepare monthly and quarterly balance sheet and revenue/expense statements for Board and program staff

• Prepare reports on unrestricted and restricted funds as needed to assist Board and staff with monitoring 

• Assist CEO and other key staff with preparation of operating budget

• Input budgets into automated accounting system

Audit and Tax Return

• Assist with annual onsite audit of Philanthropy Massachusetts’s financials; prepare work papers and supporting schedules

• Coordinate and prepare all fiscal correspondence relating to audit and tax return preparation


• Knowledge of and experience general accounting practices, bookkeeping and financial reporting

• Excellent attention to detail

• Experience on Sage 50 Accounting (formerly Peachtree) preferred but not required; we will consider moving to another platform

• Ability to manage several tasks and projects at once with excellent follow-through and ability to perform a substantial number of tasks independently

• Ability to work cooperatively, foster team spirit and maintain a sense of humor

• Experience in a Microsoft Office environment strongly preferred

• Minimum of three years’ work experience in nonprofit or business 


The part-time position, estimated at 2.5 days or 20 hours per week, includes a flexible work schedule (a combination of on-site and remote work as an option).
