The ACC is responsible for general administrative work, organizing and providing technical and logistical support for our online and in person course programs, and website maintenance.

This is a 30 hour/week position paying $25/hour plus benefits. Details below.

Responsibilities include:

Course logistics coordination

  • Make logistical arrangements for all courses and events both in person and online
  • Schedule zoom meetings and invite participants
  • Handle logistical and technical support during zoom sessions
  • Check accessibility factors for all LE courses and events and work to improve our accessibility 
  • Handle material needs for live courses
  • Arrange for spaces for live courses
  • Coordinate supplies, equipment and space set up for courses and recruit volunteer help as needed
  • Work with the ACL Program Director to make sure materials are prepared and produced for course participants in a timely manner
  • Arrange for snacks and meals that are part of course days and other events
  • Coordinate room set up and other activities with volunteers and staff
  • Presence and Communications
  • Be present for all courses, providing logistical and technical support, and managing registration and check in
  • Communicate with participants in a timely way, ensuring that they have links, schedules and access to course materials.
  • Post materials, assignments, and needed updates in each course’s portal area.
  • Meet with facilitators and presenters prior to sessions to ensure their logistical and tech needs will be met.
  • Provide an orientation for participants to the online portal and other communication opportunities, and check the conversation spaces regularly to moderate if needed and flag anything of interest or concern for the presenter(s).
  • Open the classroom, provide technical support for breakout rooms, polls and other online formats, and communicate using in-class communication protocols.

General administrative support

  • Answer the info@ email or distribute them to the appropriate other person
  • Check the mail box
  • Make bank deposits and report deposits to the accountant
  • Maintain passwords and security of materials
  • Keep google calendars up to date, and keep the team schedule coordinated
  • Manage office equipment
  • Create and maintain our database and mailing lists
  • Record major staff decisions in the decision log after meetings

Support Course and General LE Promotion

  • Ensure the website has up to date information about the online offerings, and maintain branding on the website.
  • Produce (or arrange for the production of) online ads for courses and place them in appropriate places.
  • Answer inquiries in a timely and professional manner and help people get registered.
  • Track registration lists and regularly update the rest of the staff on progress made.
  • Work with staff and volunteers to produce regular newsletters, coordinating themes, articles acquisition and making sure we are providing solid value to Alumni and other supporters

Website

  • Maintain the accuracy of all web pages, working with other staff members as needed. Add, remove and edit pages as needed.
  • Work with our tech support to troubleshoot any issues that arise, including making sure the payments portal is functional, and ensuring that our website, CRM and Online education portal continue to work smoothly together.
  • Make recommendations to the team for website best practices and potential improvements and take the lead on implementing them.

Minimum Qualifications:

Detail oriented and very well organized.

Solid communication skills and ability to work well with a multi-racial and multi-class background teams and course participants.

Experience with online platforms, such as Zoom, Basecamp and Customer Relations Management software, and ability to earn new tech quickly.

Resident of the greater Seattle area, and ideally lives on the Eastside.

Demonstrated commitment to racial and economic justice and equity work.

Ability to hold people’s personal information confidentially.

Patience with people with varying degrees of technological savvy.

Ideal qualifications:

3-5 years experience with nonprofit organizations.

Experience managing websites.

Familiar with Adaptive Leadership principles; priority will be given to people familiar with Leadership Eastside and our programs.

Benefits

Compensation, Benefits and Hours: This position is an hourly, non-exempt position, and averages 30 hours/week, including reasonable breaks. It pays $25/hour and is eligible for full time benefits. The hours may expand to 40 hours/week, depending on grant funding. Our work is a combination of in-person and remote currently and likely to remain that way. This position reports to our Executive Director, and has no managerial responsibilities. 


Full time benefits (pro-rated for a 30 hr/week position):

~ 100% employer paid health, vision and dental coverage.

~ Vacation up to 12 days total of employee initiated, pre-arranged time off (with an expectation that you will use at least 5 of those days) plus federal holidays and the person’s birthday. Because we have a generous vacation policy, we don’t roll days over into the next year. Vacation days reset on an employee’s hire anniversary.

~ Sick time of up to 8 days off, and may include both mental and physical self-care days.

~ Hours will vary over the course of the year, but we will work to keep each person’s overall hours to their committed time, averaged over the course of the year.

~ We contribute 3% of your salary to a simple 401K plan, which you can also contribute to or not.


All employees are eligible for an unpaid leave of absence of up to 3 months for every 3 years on staff, with their position held for them and health benefits still covered during their leave. We request at least 3 months notice for formal leaves of absence.
