Position Description

The Senior Director of Finance and Administration will be a strategic thought-partner, who is mission driven and meticulously detail oriented. This position reports to the Executive Director (ED), and is part of a growing leadership team. The successful candidate will be a hands-on and participative manager, with excellent communications skills. They are practiced at synthesizing complex financial information across a variety of programs and funding sources and relaying financial information to a diverse set of audiences (Program Directors and Staff, Funders, Board, and Leadership).

The ideal candidate will have extensive experience in non-profit finance and administration, with experience and expertise in governmental contracts and grant finance administration. They will lead and develop an internal team to support the following areas: finance, business planning and budgeting, grant budget development, management and reporting, human resources, and administration. They should have experience being the lead and having final responsibility for the quality and content of all financial data, reporting and audit coordination for either a division or multiple program areas, and have preferably overseen a finance team with human resources functions previously.

The Senior Director of Finance and Administration will oversee the positions of HR/Payroll (which they will have purview over hiring), and the Senior Coordinator who also handles A/R & A/P. They will play a critical role in partnering with the senior leadership team across Policy & Advocacy, Operations, and Development in strategic decision-making and operations as TLCBD continues to enhance its quality programming and build capacity. We are seeking someone with the heart for community-based work, compassion and respect for diverse and underserved neighborhoods and people, and the ability to communicate effectively and lead financial decision-making that has real on-the-ground impacts.

Responsibilities

Financial Management

  • Monthly, Quarterly & Annual Financial Report development for senior leadership team, Treasurer and Board of Directors to include: the balance sheet, income and expenditure statement, cash flow statement and quarterly forecast for funding gap analysis.
  • Analyze and present financial information in an accurate and timely manner; collate financial reporting materials for all funder segments, and oversee all financial, project/program and grants accounting.
  • Coordinate and lead the annual audit process, liaise with external auditors and the finance committee of the Board of Directors; assess any changes necessary.
  • Oversee and lead annual budgeting and planning process in conjunction with the ED; administer and review all financial plans and budgets; monitor progress and changes; and keep senior leadership team abreast of the organization’s financial status.
  • Manage organizational cash flow and forecasting.
  • Implement a robust grants/contracts management and financial management/reporting system; ensure both adherence to the contract billing and collection schedule and that financial data and cash flow are steady and support operational requirements.
  • Update and implement all necessary business policies and accounting practices; improve the Finance Department’s overall policy and procedure manual.
  • Effectively communicate and present the critical financial matters to the ED, Treasurer and Board of Directors.

Human Resources, AR/AP and Administration

Further develop TLCBD’s human resources and administration, enhancing professional development, compensation and benefits, performance evaluation, training, and recruiting. Commitment to training programs that maximize individual and organizational goals across the organization including best practices in human resources activities and CA employment and HR laws and regulations.

Work closely and transparently with all external partners including third-party vendors and consultants. Oversee AR/AP and Administration, including oversight and collaboration with HR/Payroll and senior leadership in the roll-out of more robust DEI policies and practices, and oversight of HR (inhouse)/ Payroll (contracted service) - including benefits, 401k, etc.

Technology savvy with experience selecting and overseeing financial systems with significant knowledge of accounting and reporting software to ensure efficient and consistent operations as the organization scales.

Qualifications & Core Competencies

• Minimum of a BA in economics, accounting, business or related field. CPA and/or MBA are very strongly preferred.

• At least 7 to 10 years of overall professional experience in accounting and administration; ideally six-plus years of broad financial and administrative operations management and experience overseeing/managing a Finance Department.

• Expertise in Monthly, Quarterly & Annual Financial Report development for senior leadership team, Treasurer and Board of Directors to include: the balance sheet, income and expenditure statement, cash flow statement and quarterly forecast for funding gap analysis.

• Track record in grants financial management with experience managing multi-year and multi-program funding via federal, state, city and/or county grants as well as government contracts with a strong understanding of financial regulations and common practices.

• Successful track record in setting priorities; keen analytic, organization and problem-solving skills which support and enable sound decision-making.

• Experience in audit preparation and management.

• Adept and experienced with QuickBooks and know-how in systems like Bill.com

• Experience managing IT service providers, vendors, facilities, and lease management is preferred.

  • Excellent communication and relationship-building skills with an ability to prioritize, negotiate, and work with a variety of internal and external stakeholders.

• A multi-tasker with the ability to wear many hats in a fast-paced environment and work with competing deadlines.
