JOB SUMMARY

Mosaic Family Services is seeking a highly organized and passionate self-starter Office Manager. The Office Manager will oversee the general administrative functions and activities of the office.

GENERAL DESCRIPTION

  • Oversees the daily work activities of the office and ensures the office is operating smoothly.
  • Manages the receptionist, reception office volunteers and office interns.
  • Serve as Executive Assistant to the Executive Director.

DUTIES AND RESPONSIBILITIES

  • Provides administrative support when needed to assist staff with duties such as greeting visitors; answering phones; logging, sorting and distributing mail and deliveries; and preparing documents.
  • Develops, updates and communicates agency-wide office policies and procedures, and monitors the implementation appropriately.
  • Serves as the primary point of contact with the Building Management and Property Manager.
  • Ensures all staff members have access to the office(s) and building.
  • Performs or facilitates maintenance of office equipment including cleaning, maintenance, and repairs.
  • Identifies opportunities for processes and office management improvements, and implements new systems.
  • Maintains inventory of office equipment, office supplies and orders new supplies as needed.
  • Responsible for maintaining office space layout planning and office moves, and facilitates the IT infrastructure.
  • Oversees the agency's software, including purchases, allocation of licenses and account management for each individual software.
  • Schedules quarterly staff meetings, program director meetings, and other events; maintains calendars and creates reports, as needed.
  • Maintains and updates office signage related to policies and procedures.
  • Collaborates and supports the Finance department on necessary administrative tasks when needed, and monitors the office budget.
  • Assist Human Resources and Program Directors with onboarding for new volunteers/interns and board members, as needed.
  • Performs other duties as assigned by the Executive Director.

EDUCATION AND EXPERIENCE

  • Bachelor’s degree in Business, Communications, or a related field, preferred.
  • 2-5 years of work experience in administrative/office management.
  • Bilingual in English and Spanish, preferred.

REQUIRED SKILLS/ABILITIES

  • Knowledge of office management procedures.
  • Verbal and written communication skills.
  • Interpersonal and customer service skills.
  • Organizational skills and attention to detail.
  • Management skills with a proven ability to meet deadlines.
  • Proficient with Microsoft Office Suite, Google products, or related software.

PHYSICAL REQUIREMENTS

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
