The Overlake School is an independent, coeducational, college preparatory day school located on a 73-acre campus in Redmond, Washington. The school serves 530 students in grades 5-12. General Summary:

The Overlake School seeks a highly motivated, detail-oriented, and energetic Development Office Assistant to provide comprehensive support for all aspects of a dynamic Development Department. The Development Office Assistant position is 40 hours/week and reports to the Director of Development. The hourly rate is $20/hour dependent upon experience. Start date is as soon as possible and concludes approximately July 31, 2020. Competitive benefits package included. Specific responsibilities include the following:


Database

·        Enter donations and process acknowledgment letters through Veracross, the school’s database; upload gift record information to Veracross

·        Enter and update constituent information in Veracross, such as giving details, event attendance, attributes, notes, and comments

·        Generate pledge reminders

  • Help produce and send solicitations and stewardship mailings

·        Conduct prospect research on prospective corporations, foundations and donors; create donor profile write-ups


Special Events

·        Provide support to Development staff to organize and implement all special events for the department, including volunteer and donor events

·        Coordinate various logistics for Development events, including tracking RSVPs and event attendance, generating nametags, procuring décor and gifts, and ensuring accuracy of event details on the school calendar

·        Organize and upload photos to Vidigami, the school’s shared photo platform

·        Document lessons learned


 

 

Other

·        Develop relationships with parents, faculty, staff, alumni, and all other constituencies

·        Work with school personnel to order supplies and maintain equipment for office

·        Research and order branded collateral as gifts for alums, donors, volunteers, etc.

·        Schedule meetings and reserve conference rooms as requested

·        Provide general assistance to the members of the Development staff, and support other activities, projects, and events as requested

  • Act as a partner within Development team, demonstrating a collaborative nature and collective ownership of overall team goals and objectives


Qualifications

·        Bachelor’s Degree preferred or in process; experience within educational institutions preferred

·        Database management and Microsoft Office Suite experience required

·        Impeccable attention to detail

·        Excellent written and oral communication skills

·        Outstanding interpersonal skills and judgment; high level of professionalism

·        Excellent organizational skills; ability to prioritize, plan and follow through on tasks

·        Demonstrated ability to initiate and complete multiple tasks on time

·        Proven ability to work well within a team and independently

  • Ability to work on complex problems independently; resourceful and self-starting

·        Demonstrated experience in all aspects of clerical responsibilities

·        Discretion in handling confidential information

·        Valid Washington Driver’s License preferred


Special Requirements

·        Some nights and weekends required

·        Ability to view and operate a computer frequently and consistently

·        Ability to type and sit for long periods; ability to listen and transcribe notes

·        Ability to lift and carry 35 pounds
