The Senior Manager, Non-Federal Grants serves as the lead in facilitating and managing all aspects of non-federal grant awards for PBS. He/she is the primary interface with all internal stakeholders, including functional leads, Corporate Finance, Accounting, HR and Legal, and will assist in all phases of the grant cycle from the proposal process to the end of the grant term. The Senior Manager uses a strong understanding of PBS’ internal policies regarding grant management to act as the internal reference for the funders’ grant requirements. He/she works closely with the PBS Foundation and PBS senior management, and supports key PBS non-federal grant relationships



  • Serve as the primary liaison between Finance, PBS Foundation and business units on non-federal grants
  • Develop and maintain good working relations with key stakeholders
  • Understand and communicate grant impact on PBS Operations and collaborate with other departments as needed 
  • Manage all aspects of project reporting and management of non-federal grants, including:
  • During grant proposal process:
  • Oversee proposal development process to ensure that grant requirements conform with PBS policies
  • Develop and maintain best practices to streamline proposal process while coordinating requirements from all parties involved
  • Gain understanding of potential project workflow and develop appropriate budget and spend timeline, working closely with functional managers
  • Coordinate with HR, Accounting and appropriate stakeholders to ensure smooth transition and onboarding once grant is awarded and project work begins
  • During grant term:
  • Ensure all budgets and forecasts are completed accurately and timely and properly support the grant activities in accordance with grant requirements
  • Monitor monthly expenses and project status to ensure that spend guidelines are being met
  • Monitor progress against program goals on a regular basis to ensure that deliverables are being met. Hold frequent meetings with functional managers to gain understanding of work being completed
  • Communicate all pertinent information (such as delays in deliverables, spending concerns) to internal stakeholders including senior management and PBS Foundation as appropriate
  • Prepare all financial reports needed by grantors, including but not limited to interim financial report, payment request, cash flow analysis, revised budgets for grant amendments, final financial reports.
  • After grant term:
  • Keep all records of grant activity, both hard and electronic copies, to comply with PBS recordkeeping policies
  • Maintain final grant documents including final financial report and narrative, cash flow report and other important documents.
  • Manage all grant administration and compliance matters, including:
  • Develop and implement processes to better monitor grants from inception until end
  • Serve as a subject matter expert on grant terms and funder agreement
  • Lead onboarding meetings for all stakeholders working on specific grant award
  • Create summary “cheat sheet” for all grant awards that summarizes pertinent information;
  • Coordinate with Corporate Finance, HR and Accounting on all relevant matters including but not limited to calculation of occupancy and overhead, timing of expenses, accurate allocation of time and timesheet training
  • Provide all necessary information related to non-federal grants during annual budgeting and planning process
  • Prepare and update status summary of all open grants on a monthly basis, monitoring progress against spend and towards project goals
  • Schedule and lead regular grant meeting between senior management and other stakeholders
  • Serve as a key Finance team member on the ERP implementation project, providing insight and recommendations into effective methods of structuring and capturing data related to grants in the system
  • Other duties as assigned


  • 5-7 years in financial planning and analysis, project management and/or grant management
  • Experience writing and managing the lifecycle of grants preferred
  • Experience working effectively in team-oriented environments


  • Bachelors’ degree in Finance or a related field


  • Strong project management skills
  • A high level of competence to learn process flows
  • Excellent MS Excel skills 
  • Ability to understand and learn complicated business processes
  • Ability to effectively build relationships across departments
  • Outstanding written and verbal communication skills
  • Excellent quantitative and analytical skills
  • Strong knowledge of a well-known ERP system
